The scope of work includes evaluating current audio capabilities and limitations at six campuses, identifying tailored sound system options for each building, providing recommendations with equipment specifications, cost estimates and project timelines, and delivering full installation, testing, training, and post-installation support. The phases are: (1) Needs assessment and site visits to assess existing systems and infrastructure in areas needing audio reinforcement, determining electrical, wiring, and equipment needs, and submitting findings for review; (2) System design and technical process, creating customized proposals with clear equipment lists, diagrams, and specifications, including recommendations for long-term sustainability and maintenance; (3) Installation, ensuring full installation of all approved components with compliance to codes and school safety requirements, minimizing instructional disruption; (4) Training and documentation, providing on-site staff training and delivering all manuals, warranty documentation, and system diagrams; and (5) Warranty and support, providing warranty details on equipment and labor and outlining service and maintenance options. Instructions to bidders: Experience with K-12 or similar institutional environments in designing and installing sound systems is required, as is a proven record of quality installation and customer service, project timeline adherence, and proper licensing and insurance. Proposals must include company overview, relevant experience, assessment approach, technical recommendations and equipment options, project timeline, installation windows, detailed pricing by campus and phase, warranty and service plan options, and at least three references from comparable clients. Bidders must participate in all required campus walkthroughs.
