This specification is for preventative maintenance of naturalized kindergarten outdoor learning areas and landscaped front entrances at 18 elementary school sites and 3 secondary sites. Maintenance is required only in the designated fenced-in areas adjacent to school buildings; no other school area is included. Tasks to be performed are outlined in Schedule A for kindergarten outdoor spaces and Schedule B for front entrance landscape maintenance. Suppliers must propose the number of visits necessary to achieve required standards, with each site to be visited at least monthly during contract periods from April 25 to June 30 and August 15 to November 15. The objective is to maintain a safe, clean, organized, and sustainable play area for students and staff. Maintenance activities must be scheduled with consideration of school events and weather conditions, with site visits coordinated in advance. Personnel must sign in and out of the school office, comply with safety requirements, and use suitable equipment. Awarded suppliers may receive keys for access and must provide schedules and required documentation. Out of scope items will be coordinated on a time and material basis. Photographic evidence and maintenance checklists are required after each visit. The contract is for one year, with an option to renew for up to two additional years at HDSB’s discretion. Suppliers must have relevant experience, licensing, insurance, and resources, and submit all mandatory forms and schedules as part of the proposal.
