The work involves the supply and delivery of various office chairs under a corporate standing offer. Bidders are required to provide pricing for high-back task chairs, training and meeting chairs, and guest chairs. Pricing information must be submitted electronically and in Canadian funds, inclusive of all applicable duties and taxes except GST and PST. Rates must include all labour, material, travel, carriage, insurance, delivery, installation, set-up costs, and overhead. Pricing must remain firm for the first year of the contract. Any price increases must be accompanied by 60 days written notification and supporting documentation from the manufacturer, and the City reserves the right to reject or cancel the contract in response to price changes. Bidders must not enter $0.00 for non-mandatory items they are not bidding on; such fields should be left blank. The evaluation process includes a technical review and a physical sample review for shortlisted chair models. Mandatory requirements for chairs include cost ceilings, warranty terms, compliance with ANSI/BIFMA standards, and quick response to warranty claims. Respondents must acknowledge the non-binding nature of the procurement process, confirm their ability to deliver as specified, and declare any conflicts of interest.
