The requirement provides one base year and four option years of audiovisual maintenance and support services to ensure the continued performance, reliability, and security of the existing conference room A/V system, including all computer-based components. The work includes preventative maintenance, troubleshooting, repair, user training, cybersecurity updates, and evaluation of potential upgrades to maintain system functionality and compatibility with Navy NMCI policies and security requirements. The contractor must furnish all labor, equipment, and materials and ensure all personnel possess proper qualifications and clearances. Preventative maintenance consists of quarterly inspections of system components, cleaning and inspection of cabling, verification of system functionality, and application of necessary software or firmware updates. Troubleshooting and repair require timely on-site response to diagnose and resolve hardware and software issues and replacement of faulty components with approved equivalents. User training includes refresher and new-user instruction, as well as the development of user-friendly documentation. Cybersecurity maintenance includes applying security patches, performing security assessments, disabling unused ports, establishing administrator passwords, and maintaining accurate configuration and inventory documentation. Potential upgrades may involve improvements to displays, cameras, content-sharing technology, or VoSIP system integration and require submission of cost estimates and technical specifications for approval prior to implementation. Deliverables include maintenance reports, training materials, security assessment reports, upgrade proposals, updated system documentation, and detailed engineering and operator manuals that include system descriptions, operating instructions, wiring diagrams, installation details, parts lists, and warranty information. All system components must remain wired, with no wireless features enabled due to the classified operating environment, and shipping costs must be fully included if not already part of the quoted price.
