The Town of Hamilton is seeking the services of a qualified AV professional firm to supply and install new audio and video equipment in the new Hamilton Town Hall Meeting Room in conjunction with the HWCAM production design and construction consultant. Interested parties must submit separate sealed technical proposals and price proposals. Questions must be submitted in writing. Site visits are non-mandatory and can be arranged by contacting the DPW Director. The contract will be awarded to the consultant with the most advantageous technical and price proposals, based on the recommendation of the DPW Director and HWCAM Executive Director. The Town reserves the right to reject any and all proposals and to waive minor informalities. The selected AV Professional Firm will be working with the DPW Director and HWCAM to outfit the new Town Hall Memorial Room with new audio and video equipment. This professional firm will be responsible for coordinating all supply, delivery, installation and connections with the HWCAM production side. HWCAM has planned new production equipment in the new AV Room of Hamilton Town Hall and the goal is to link the new AV Room equipment with the new equipment installed in the Memorial Room. All wiring has been installed and this project will only involve specifying equipment, purchasing and supply of equipment, completing the termination ends of the wiring, installation of the equipment, programming, start up, and testing. Coordinating these activities with HWCAM and their AV professional is vital. The Town will respond to written questions that are received by April 10th , 2026 @ 4:30pm. The AV professional firm will be tasked with supplying the specified equipment, wiring terminations, equipment installation, connections, start-up and testing, programming, and connection with the HWCAM AV Room equipment. All the wiring in the Memorial Room is set and ready for equipment installation. The equipment listed is preferred to work with the system as designed. Alternative equipment may be considered as long as the equipment is determined to be an approved equal. Determinations will be made by the DPW Director and HWCAM. Equipment must also meet or exceed the listed with performance and warranty.
