Reference Number 0000419166 The objective of this Request for Proposal (RFP) is to solicit competitive bids to replace the Districts aging server infrastructure across all facilities. The existing servers have reached end-of-life status and no longer meet the operational, security, or performance requirements necessary to support instructional and administrative technology systems. SSD is seeking a qualified vendor to furnish, deliver, install, configure, test, and commission twelve (12) replacement enterprise-grade servers - with optional pricing for up to three (3) additional units - across all District facilities. The servers currently in service support domain services, file storage, and application hosting across the Districts eleven facilities. The scope includes all labor, materials, software licensing, data backup and migration, third-party software vendor coordination, testing, commissioning, legacy equipment decommissioning, and complete project documentation. Question Deadline 04/22/2026 at 4:00 PM MT All questions, requests for information, and communications regarding this RFP must be submitted exclusively through the BidNet Direct platform using the Q&A feature. SSD will not respond to questions submitted via email, phone, or in person. Summit School District RE-1 is seeking a qualified vendor to provide all labor, materials, tools, equipment, software, and services necessary to replace the District's end-of-life server infrastructure. The awarded vendor shall serve as the prime contractor and single point of accountability for this project -- from equipment procurement through final commissioning and acceptance. Vendors must address each scope item explicitly in their proposal. Current Environment: o Twelve (12) servers at end-of-life distributed across District facilities, requiring full replacement o Up to three (3) additional servers identified by District IT as needed -- optional per-unit pricing required o Servers currently support domain services, file storage, and application hosting across the District's eleven facilities o The District operates multiple enterprise software platforms dependent on server infrastructure, including student information systems (SIS), financial/ERP systems, and other mission-critical applications o Server rack locations and room assignments will be confirmed with the awarded vendor at the pre-installation coordination meeting o The District's Technology Director, Ravi Jaishankar, will serve as the technical point of contact for all installation and configuration matters following contract award 2.2 Server Procurement & Delivery The selected vendor shall furnish and deliver twelve (12) new, current-generation, enterprise-grade rack-mount servers meeting or exceeding the minimum specifications in Section 4, plus optional per-unit pricing for up to three (3) additional units. o All units must be brand new -- no refurbished, open-box, or gray-market equipment will be accepted o All equipment shall be sourced from an authorized manufacturer or distributor; proof of authorized reseller status must be provided upon request o Vendor must confirm exact make, model, product line, and server generation for all proposed units -- proposals listing generic or unspecified configurations will not be considered a Performance Bond and Payment Bond are required for any construction contract awarded in excess of $150,000. Each bond shall be equal to 100% Performance Bond 100 % SSD reserves the right to reject any and all proposals, to award all or part of the bid, and to make the award on the basis of merit, technical approach, cost, and availability of service in the best interest of SSD.
