Provide event and meeting planning services for the 181st PreMobilization Yellow Ribbon Mobilization Conference in Chattanooga, TN, with the possibility of Murfreesboro, TN, or Nashville, TN as alternate locations. Services include: one general session/conference room or gym area to seat 640 people with necessary tables, chairs, podium, American flag, audio-visual equipment (including microphones, speaker system, at least two projectors), internet connectivity, and complimentary water stations. The room may also serve as a dining area for a lunch banquet. Provide eight registration/administration tables with chairs outside the meeting room. Two conference breakout rooms for childcare, each equipped with seating and open play space, located near restrooms, with one table and chair for registration outside each room, television, and wireless internet. A lobby or event space for 25 vendors with one 6ft or 8ft table and two chairs per vendor, complimentary water station, wireless internet for at least 40 computers, located near the general session room. The general session and childcare rooms are required from 6:30am to 5:30pm on the event date. Serve lunch (box lunches with multiple options: ham, turkey, vegetarian sandwiches, chips, cookie, water, cold beverages) for 640 people, with linen tablecloths and servers for beverage refreshment and dish removal; lunch to be served from 11:00am to 12:00pm. No entrees or side items containing peanuts or peanut-derived ingredients are allowed. Children will eat with parents. Security requirements include completion of a National Agency Check (NAC) SF85P and provision for locking all conference rooms when not in use, with keys given to the point of contact. Vendors must provide Cage Code, UEI, and Tax ID number and be registered in SAM.gov with completed Representations and Certifications. The Federal Government is tax exempt.
