Reference Number 0000423403 The County of Ottawa, on behalf of Facilities Maintenance, is inviting experienced and qualified Contractors to bid on the replacement of several exterior doors countywide. Steven Holden, Procurement Specialist, 616-994-4778, purchasing.rfp@miottawa.org All bids will be read aloud starting at 2:00 PM ET at the County Administration building located at CONFERENCE ROOM F | 12220 Fillmore Street | West Olive, Michigan 49460. The County can receive email attachments up to 25 megabytes. Bid documents larger than 20 megabytes should be sent in multiple emails with subject line of: "ITB 26-054 - 1 of 2 The County of Ottawa, on behalf of Facilities Maintenance, is inviting experienced and qualified Contractors to bid on the replacement of several exterior doors countywide. The County has multiple steel and aluminum storefront doors in need of repair or replacement due to deterioration and malfunction. We also have a few correctional grade doors in need of replacement at our county jail. A. Door and Frame Replacement The Contractor is responsible for removing the existing door, frame, thresholds, and all associated debris from the job site. Replacement doors and frames must match the existing style and construction. All dimensions and measurements must be field-verified by the Contractors, and replacement units must meet any existing fire ratings, security levels, or performance requirements. B. Hardware Reuse and Replacement Existing hardware, including locksets, closers, pull handles, peepholes, and other functional components, shall be reused unless determined to be inoperable. When replacement hardware is necessary, the Contractor will supply new components matching the existing hardware, including re-keying or cylinder pinning to match County keys. Kickplates must be replaced with new ones on replacement doors. Tasks include: o Reuse existing operable hardware o Provide matching replacement hardware as needed o Replace kickplates with new units o Ensure key cylinders match County-issued keys C. Weatherproofing and Accessories Each new door must be installed with a new threshold, weatherstripping, and door sweep. All seals must ensure proper closure and environmental protection. Tasks include: o Install new threshold, weatherstripping, and door sweep o Verify proper door operation after installation D. Electronic Access and Security Equipment Most existing doors are equipped with card access controls, intercom systems, and electronic locking hardware. The Contractor is responsible for removing, reinstalling, and verifying the operation of all such equipment on the new door. If specialized services are needed, the Contractor must coordinate with the County's current vendor, People Driven Technologies. Tasks include: o Reinstall all existing electronic access components o Verify full operation of access and communication systems o Coordinate with People Driven Technologies if required E. Installation Standards and Sealant Requirements The Contractor must match the existing installation method, including frame grouting when applicable. All frame-to-opening caulking must be performed using Tremco Dymonic FC, which carries a 10-year warranty. Documentation proving use of the specified sealant and warranty coverage must be submitted to the County. Tasks include: o Match existing installation methods, including grouting o Caulk all frames using Tremco Dymonic FC o Provide documentation of sealant use and warranty F. Painting and Finish Work Doors must be painted within one week of installation. Paint Color will match the existing door color, using Sherwin Williams Resilience Semi-Gloss Acrylic. Tasks include: o Paint new doors within one week of installation o Match existing door colors and finish type G. Doors Containing Windows and Sidelights Door windows must be replaced to match existing glass specifications, including thickness, tint, size, and shatter resistance. Sidelight windows may be reused if in good condition and compatible with the new installation. Otherwise, new matching windows will be required. Tasks include: o Replace door windows with new units matching all existing specifications o Reuse or replace sidelight windows depending on fit and condition H. Security and Safety Requirements No door will be removed unless the replacement door can be installed immediately. No openings may be left unsecured, unattended, or exposed overnight I. Property Protection and Damage Repair Any damages to County property caused during the project must be reported to the Operations Coordinator. All repairs must be completed within 30 days at no cost to the County. J. Deviation and Conduct Requirements No deviations from this scope of work are permitted without the prior approval from the Operations Coordinator. All Contractor personnel must maintain professional conduct and appearance while on County property. Clothing must be clean and clearly identify the company represented. K. Pricing and Invoicing The Contractor will provide a firm, fixed price for all labor, materials, equipment, coordination, disposal, and services required to complete the work described in the Scope of Work. Pricing will detail replacement doors, frames, hardware, thresholds, weatherproofing materials, sealants, painting, electronic access reinstallation, and all related installation components. County of Ottawa is tax exempt.
