Garvan Woodland Gardens is seeking sealed bid proposals from qualified contractors for the assembly and disassembly of the Holiday Lights display. The scope includes decorating approximately 20 acres in Garvan Woodland Gardens, Hot Springs, Arkansas. The setup is scheduled to begin around September 15, with a vendor-determined crew starting at the parking lots and following a set schedule to minimize guest interruption. Work hours are expected from dawn to dusk, possibly up to seven days a week to meet deadlines. The display features about 150 pole trees (totaling 6,000 light strands), 60 wrapped trees (about 4,000 strands), roughly 35,000 SF of wrapped shrubs, and around 300 pre-lit set pieces and hanging ornaments. All mini lights are prepared for tree wrapping, and set pieces are fully decorated and "plug and play." Installers are responsible for any damage and repairs in the field. Some elements require moderate assembly or decoration onsite, though most are ready for immediate installation. Visual arrangement for an aesthetically pleasing outcome is required, subject to interim reviews and final approval by the owner's representative. Vendors must provide quality service, offer best value, demonstrate accountability, and maintain a beneficial working relationship. Only highly qualified and experienced vendors should apply.
