The Oklahoma City VA Health Care System requires a contractor to provide on-site, commercial, secured collection and destruction of confidential documents, including on-site interim destruction and off-site final destruction, for facilities within the Oklahoma VA Health Care System area of responsibility. The contractor is responsible for all personnel, supervision, equipment, and services necessary for the secure destruction of sensitive documents, following VA Directive 6371 and applicable local, state, and federal regulations. The contractor must clean up all residual material post-service, maintain liability insurance, and ensure the confidentiality of personally identifiable information (PII) in compliance with the Privacy Act and HIPAA. Quarterly samples of shredded outputs must be provided to verify compliance with required destruction standards. Work is to be performed during business hours, excluding federal holidays. The contractor is responsible for staff security clearance, badges, adherence to facility security and safety requirements, and the assignment of a project manager to coordinate services and communication with the facility. The contractor must provide staff knowledgeable of collection bin locations, ensure employees are escorted on VA property, and use designated parking areas. All work must be conducted in a manner that does not interfere with normal facility operations, and appropriate safety precautions and personal protective equipment must be supplied to contractor employees.
