The Oklahoma City VA Health Care System requires a contractor to provide on-site, commercial, secured collection and destruction of confidential documents, including on-site interim destruction and off-site final destruction, for sites within the Oklahoma VA Health Care System area. The contractor shall provide all personnel, supervision, equipment, and services necessary to perform the work as specified, ensuring all document destruction procedures comply with VA Directive 6371. The contractor is responsible for cleaning up residual materials, maintaining liability insurance, and following all applicable laws and regulations regarding the transportation and destruction of classified medical documentation. All access to Personally Identifiable Information must be limited to authorized personnel and kept confidential. On a quarterly basis, provide a sample of shred outputs to verify compliance with destruction standards. Business hours are 8am–4:30pm, Monday through Friday, excluding federal holidays. The contractor is responsible for the management and conduct of its employees, compliance with security policies, clearance requirements, and provision of company badges with photo identification. A Project Manager must be assigned for coordination and be accessible during business hours. Contractor personnel must park in designated areas, follow all safety regulations, provide necessary PPE and training, and avoid interfering with the normal functions of the facility. Contractors may be required to interrupt work to ensure the facility's normal functioning is not disrupted.
