The Northwest Fire District is soliciting proposals for HVAC services. The Northwest Fire Rescue District provides service to the public by following our mission statement which is to save lives, protect property and care for our community. To support this important mission, the care and upkeep of our facilities that support our first responders is paramount. We prioritize the safety, comfort, and ability to perform the mission stated above
beyond all other requirements. Northwest Fire District is seeking a service provider that shares our mission. This scope of work provides an outline of services, required actions to be performed, and commitments required to preventatively maintain and periodically repair (emergency and non-emergency) and recommend life cycle replacements of exiting mechanical units as needed. Northwest Fire District, (hereinafter referred to as "The Client") and the respondent
bidder (hereinafter referred to as "The Contractor") will enter into an agreement defined by this Request for Proposals
The Client desires a contractor that can provide timely preventative maintenance services on our HVAC assets, including packaged heat pumps, Air handlers, Cooling Units, Ice Machines, Evaporative Coolers, Heaters, Solar Water Heaters and Exhaust Fans. These assets are to be serviced on varying basis depending on manufacturer recommendations. This will include annual, semi-annual, and quarterly time periods using a checklist and schedule so that each unit is serviced reducing the need for un-scheduled or emergency repairs. The request for a 'fixed price' proposal is included in the HVAC SOW Fee Schedule. Please include the amounts for Hours, expected resource use and the hourly rate for these events. (Resources can include travel time and equipment rental, such as Lifts). Emergency repairs are unexpected; however, it is the desire of the Client to have an idea of a time and materials rate for addressing repairs. Please include the hourly rate per resource for this proposal. Close coordination with the Client is required for all inspection, repairs, and other types of visits to our facilities. Prearrangement of on-site time, notification in advance of planned activities, and follow-up post event are all required elements. As our facilities operate on a 24hour, 7 days a week, 365 days a year, prompt response is expected 24/7, 365 for all emergency call outs. This is a multi-term contract that may be renewed annually for a total time of contract not to exceed five (5) consecutive years. The Services shall commence on January 1, 2021, and shall continue through December 31, 2021, with the potential for four (4) years of contract extension(s). Currently identified HVAC Assets are listed in EXHIBIT #1 HVAC Listing as of 08.24.2020. Please review this exhibit carefully. The Client has not provided Models/Serial numbers by design since some of these units may have been replaced since originally designated on the construction diagrams. The Contractor is required to survey these assets to update and
validate this information as an initial task in the Scope of Work (SOW). Questions regarding this solicitation should be submitted in writing to the Purchasing Department, Attention: Raymond
