The purpose of this invitation to bid is to provide the City of Montrose with material suitable for use in routine maintenance of City assets such as water lines, sewer lines, storm sewer and roadways. The material supplier shall have the ability to fulfill orders from a stock piled location within fifteen (15) radius miles of 1221 6450 Rd Montrose Co. Material supplier shall have the ability to load City trucks or contracted City trucks hired by the City without assistance of City equipment or labor. Material shall be available for the City to acquire during normal working hours, M-F, 7:00 am - 4:30 pm. Facility shall be capable of reporting material loaded to the nearest 20 lbs at the stock pile location and providing a material ticket containing. ESTIMATED QUANTITIES 3" Road Base Class 2: 500 Tons 3/4" Road Base Class 6: 1500 Tons 6-8 inch Cobble: 100 Tons 3-4 inch Cobble: 100 Tons Granular Stabilization Materials: 50 Tons The quantities indicated above are estimates that pertain to total aggregate quantities that may be ordered throughout the stated contract period. Variation of quantities may increase or decrease. The estimates do not indicate single order amounts unless otherwise stated. The City of Montrose makes no guarantees about single order quantities or total aggregate order quantities. All inquiries will be responded to at the same time which will be after the "Clarification Deadline". Responses to clarification will be made available on the City's website in the same location as the RFP. Interested parties should not rely on any other statements, either written or oral, that alter any specification or other term or condition of the RFP during the open solicitation period. RFP Clarification Deadline by 2 PM 01.11.2021 RFP Clarification Responses 01.12.2021 Notice of Award 02.05.20210 The City of Montrose with the mutual agreement from the supplier shall have three (3) additional, one year renewal options to extend the contract based upon satisfactory performance and price stability. Orders placed for the option years are dependent upon the availability and actual appropriations of funds for that year. Bid Bonds (5% of total bid price) and performance and payment bonds (100% of total bid price) are required on construction projects over $50,000. Proposals may not be modified or withdrawn after the due date and time set for the Bid opening for a period of ninety (90) calendar days. If a Bid Proposal is modified or withdrawn by the Bidder during this ninety (90) day period, the City may, at its option, place the Bidder on suspension and may not accept any further Bid Proposals from the Bidder for a period set by the City following the Bidder's modification or withdrawal of its Proposal. The City may reject an offer, in whole or in part, as set forth in the City of Montrose Municipal Code, and the City's Procurement Manual. The City reserves the right to accept or reject any or all bids, to waive irregularities and/or informalities and to disregard all non-conforming, non-responsive, unbalanced or conditional bids.
