Renovation of a museum in Eagle Point, Oregon. Completed plans call for the renovation of a museum.

Installation of a fire alarm and sprinkler system monitoring for the new fire suppression system. The City of Eagle Point reserves the right to 1) reject any or all proposals not in compliance with Oregon bidding procedures and written instructions if it is in the best interest of the public to do so, 2) seek clarifications of each response, 3) waive informalities in the proposals, 4) choose different proposers for each task, 5) modify the project to fit within budgeted amounts, and 6) negotiate a final contract that is in the best interest of the City. Proposals received after the time established for receiving bids will not be considered and will be returned. Prequalification/Licensing Companies must be in good standing, obtain a business license from the City of Eagle Point, and provide insurance to limits as required by the City. Proposed Work The City of Eagle Point is seeking proposals for installing the physical and electronic components needed to enable the existing suppression structure to communicate with SOS Alarm for monitoring and supervision of the suppression system Please provide a proposal to provide the following work: o Notifier Control Panel with built in dialer o Smoke detector o Pull Station o Horn/Strobe (Wall) o All Labor to Install the system o Installation Materials (misc.) o Electrical Work o Coordination with SOS Alarm to ensure compatibility o All electrical and mechanical permits The work involves installing the fire alarm sprinkler monitoring systems. The museum is in operation Friday through Sunday at 11:00 to 4:00. Public Works oversees the museum and operates 8-5 Monday through Friday. Work shall be performed when the museum is not in operation. Work shall be scheduled during Public Works open hours unless special arrangements are made 5 working days in advance. Oregon Residency All proposers must state whether or not the proposer is a resident as defined in ORS 279A.120. A percentage increase, as determined by the Department of General Services, will be added to nonresident's proposal for the purpose of determining the lowest qualified proposal. The Contract, if awarded, is to be awarded to the lowest responsive, and responsible proposer. Interpretation No oral interpretations will be made to any interested party as to the meaning of the Contract Documents or any part thereof. Every request for such an interpretation shall be made in writing to the City. Any inquiry received three (3) or more days prior to the date for receiving proposals will be given consideration. Every interpretation made to a proposer will be in the form of an Addendum to the Contract Documents, and when issued, will be on file at the City at least three (3) days before the date to receive quotes. In addition, all addenda will be emailed to each person holding Contract Documents, but it shall be the proposer's responsibility to make inquiry as to the addenda issued. All such Addenda shall become part of the Contract and all proposers shall be bound by such Addenda, whether or not received or acknowledged by the proposer. Submission of Proposals The submission of proposals shall be prima facie evidence of the following: that the Proposer has carefully examined a full and complete set of the solicitation documents for this project as indicated on the document acknowledgement; that the Proposer has personally inspected the site; that the Proposer has satisfied himself/herself as to the quantities involved and acknowledges that the description of the quantities of work and materials included herein is brief and is intended to indicate only the general nature of the work; and that this proposal is made according to the provisions and terms of the full and complete solicitation documents, which documents are hereby made part of this proposal. All proposals received must be in writing and delivered or emailed to the City. Prevailing Wage This project is not subject to prevailing wage. Site Examination Each proposer shall visit the site and fully acquaint themselves with the existing conditions there relating to construction and labor and should fully inform themselves as to the facilities involved, the difficulties and restrictions attending the performance of the Contract. Contractors will not be given extra payments for conditions, which can be determined by examining the site and solicitation documents. Base Quote Contractors shall acknowledge that estimated quantities are not guaranteed and shall be based on the actual amounts to complete the work as outlined.
