In order to be considered for an award of contract Proposers shall submit five (5) completed sealed proposals, dearly marked "Railroad Cottage" forwarded or delivered to the City Clerk's Office, City of South Bay, 335 SW 2nd Avenue. Proposals received at any other location than the aforementioned or after the Proposal submission date and time shall be deemed non-responsive. The City reserves the right to reject any and all submittals. Scope of Services The individual or firm must exercise their best efforts with respect to providing Railroad Cottage planning which the City requires to advance the above agenda priorities. The individual or firm shall determine the Cottage/cultural center focus and location; coordinate the initial Cottage setup; join relevant Cottage organizations; prepare marketing materials to be distributed to stakeholders, experts, and potential funding sources; interface with experts in the history of the City, Cottage planning, and artifact collection; research available funding opportunities and apply for grants; manage grants that are awarded; produce a survey document to be used to compare similar Cottages and cultural centers; conduct site visits to similar Cottages and cultural centers; create and maintain social media platforms to convey information about the project including a website, Facebook, Instagram, Twitter, and LinkedIn accounts; conduct community meetings to provide stakeholders an opportunity to participate in the planning process; assist the City in establishing the Cottage Board of Directors and identifying a Cottage Director; and develop a logo and brand identity for the Railroad Cottage. The individual or firm shall provide the City Commission with monthly written reports in a presentation format detailing the activities and services being provided toward the planning of the Railroad Cottage.
