The Agua Fria High School District wishes to enter into a contract with a qualified vendor to perform Preventative Maintenance and Repair of Solar Panels Districtwide as outlined in RFP 23-09-28. The purpose of this solicitation is to establish a contract with a qualified firm to provide preventative maintenance and repair services for solar panels district wide. Services include the items described in the Scope of Work but may also include related services that are typically provided in the course of normal industry practices. Location of solar panels for each HIgh School: Desert Edge High School - Roof Mount System, Vaerado High School- Roof Mount System, Agua Fria High School- Parking/shade system, Millennium High School- Parking/shade system, Canyon View High School- Roof/Shade System. See attachments A-F for all current locations. Preventative maintenence shall include but not be limited to semi annual inspections and cleaning of the DC arrays. Monitor all energy production and alert/inspect any system that fall short of acceptable level of normal energy production for each system.
Issues identified during preventative maintenance inspections or issues discovered as a result of mornitoring the energy production software, shall be repaired after approval by the Distict Representative with minimum loss of energy production.
Agua Fria High School District #216 is located in Avondale, Arizona. It has 5 comprehensive high schools and online school, serving approximately 9,600 students. The district covers approximately 96 square miles and has schools in Avondale, Goodyear, Litchfield, Buckeye and Maricopa County. All five (5) high schools have solar panels that require on going maintenance,cleaning and repairs. Question Submission Deadline: June 19, 2023, 2:00 pm Question Response Deadline: June 21, 2023, 10:00 am Contractor Selection Date: July 12, 2023 It is the intent of the District to award a multi-term contract, beginning after Governing Board award and continuing through June 30, 2024. If all conditions are met during this period, this contract can be extended, if funding is available, for up to four additional one-year contracts or any portion thereof. However, no contract exists unless and until a purchase order is issued each fiscal year. It is expected that the award for this contract will be made in 120 days. However, no commitment is made to this award date. A contract under this bid will be awarded to a single vendor. The award will be limited to the least number of offerors that the District determines is necessary to meet the needs of the District.
