Renovation of a water / sewer project in Dodge City, Kansas. Completed plans call for the renovation of a water / sewer project.

This project needs to be completed in a timely manner. Liquidated damage must be assessed if the project is not complete on time. The cost for liquidated damages will be $1000.00 per day The project shall be completed by December 31st, 2024. If that deadline is not possible, please provide an alternate date. The purpose of the Request for Proposals is to solicit and select a Roofing Contractor to replace the damaged roof at the Dodg City Wastewater Treatment facility. The roof was heavily damaged in two windstorms and is beyond repair. We have determined that it would be best to replace the roof in its entirety to prevent any further damage to the interior of the structure. 1. The contractor must remove the existing roof system including any decking, coping, scuppers, downspouts, that has been damaged beyond repair. 2. The contractor is responsible for all dump fees and cost for removal. 3. The contractor must install a minimum of 3" roofing insulation board over the decking. 4. The contractor must install a fully adhered 60 mil TPO roofing system. 5. The contractor must install new decking, coping, downspouts etc. that were removed in earlier stages. 6. The contractor is required to engage in one preconstruction meeting with the City of Dodg City and any subcontractors involved. 7. If the current insulation is in good shape and can be reused the bid must be altered to show the reduction in material and labor costs. 8. The Contractor must provide a minimum of 20 yr Material warranty from the contractor or by the manufacturer. 9. The contractor must provide a 3-year Labor warranty at minimum. 10. Hours of operation must be approved by the Dodg City Development Services Department. 11. All licenses and insurance must be approved by the Dodg City Development Services Dept. 12. Any alternates shall be presented to the Director of Construction and Facilities. If they are accepted an addendum will be sent to all registered bidders. The RFP is issued by the Construction and Facilities Department. All correspondence and questions regarding the RFP must be addressed to: Kevin Israel Director of Construction and Facilities 100 Chaffin RD, PO box 880 Dodg City Ks, 67801 620-225-8100 kevini@dodgcity.org Each proposal shall be enclosed in a sealed envelope or wrapping, identified on the outside with WASTEWATER TREATMENT FACILITY ROOF REPLACEMENT the proposal opening date, and the time of bid opening. All proposals to be mailed shall be enclosed in a sealed envelope and clearly identified as to project, bid opening time and dates, and sealed in a second envelope and mailed to the City Clerk, P.O. Box 880, Dodg City, Kansas 67801. It is strongly recommended that special mailing be used to ensure that the Clerk receives the bids before the opening time and date. Proposals submitted via email or facsimile shall not be accepted under any circumstances. Bidders may submit alternate proposals should they feel that a better, more suitable system will result. The City will be the sole judge of suitability. No bidder may withdraw his proposal for at least thirty (30) days after the scheduled closing time for the receipt of the proposal. The City reserves the right to accept the proposal which, in its judgement, is the best proposal; to reject any or all proposals; and to waive irregularities or informalities in any proposals. Proposals received after the specified time of closing shall be returned unopened. Bonding -The successful bidder shall furnish a Performance Bond in the amount of 100 percent of the contract sum to assure the Owner of full and prompt performance of the contract during construction and the warranty period after completion. The bond shall be filed with the Owner at time of executing the Agreement. Bonds shall be in forms issued with the specifications and related documents for the work, made payable to the Owner, issued by a corporation legally licensed to transact business at the place of the work and satisfactory to the Owner, and shall be issued at the bidder's expense and maintained by him for the life of the Contract. The successful bidder shall verify number of copies of each bond required taxes. This Performance Bond will not be required on projects less than $50,000. The Contractor shall pay all local, state, and federal taxes applicable to this work. This project is exempt from Kansas Sales Tax. Payment - Payment for this project will be on a lump sum basis for the items covered by the specifications and shall be full compensation for furnishing all materials, equipment, appliances and labor for performing all work shown specified herein, all in accordance with the items and conditions of the contract. Protect Work: It shall be the responsibility of the successful bidder to protect other work from spillage of roofing materials and prevent liquid materials from entering or clogging drains and conductors, replace and/or restore other work damaged by installation of roofing. Replace down spout strainers if necessary and/or clean out to permit positive flow. All bidders submitting a proposal shall comply with these policies. Quality and Warranty - In addition to any standard product warranty provided by product manufactures, the contractor shall at his own expense amend and repair any damage arising from defective or improper materials or workmanship which may appear within one year after completion of the work. Substitutions - Substitutions from products or materials other than those specified must be approved no less than two days prior to bid opening. All requests for substitutions must be in writing and include product cut sheets for the item requested for substitution. The Contractor shall coordinate with the Owner on the work schedule. Safety and Appearance The Contractor shall take all precautions to keep debris to a minimum. Upon completion of the project, the Contractor shall dispose of all excess materials and debris. The area shall be left in a clean and orderly manner. The Contractor shall provide any required barricades, fences, etc. to ensure safety on the job site. EEO/AA/MBE-WBE Policy - The City Dodg City has adopted a policy wherein all contracts over $10,000 shall include specific provisions to ensure equal employment opportunity and that all Contractors provide evidence of the adoptions of an affirmative action program.
