This is a service / maintenance or supply contract in Huntsville, Alabama. Contact the soliciting agency for additional information.

You are invited to submit a quotation to supply the Huntsville Utilities Electric System with various overhead and underground distribution/transmission materials per the enclosed Huntsville Utilities Electric Material Proposal spreadsheet. Period of support will be one year beginning April 15, 2024, with an option to extend for two additional one-year periods dependent upon mutual agreement of both parties. Last day for questions: March 15, 2024 All bid submissions must be represented on the attached Proposal Form and in Excel Format on a Flash Drive, provided at time of bid opening. You may provide supplemental information and/or alternative options, but they must be noted on the Proposal Form that the options are provided. Huntsville Utilities reserves the right to award this contract on a lot basis (lots are defined on the actual proposal forms). Reference the enclosed Terms and Conditions for quoting this contract. The Terms and Conditions (Attachment A) should be reviewed, completed, and signed as an integral part of your proposal. The Conflict-of-Interest Form (Attachment B) and Non-Collusion Affidavit (Attachment C) must be completed, signed, and included as part of the bid package. The Vendor Code of Conduct must also be signed and returned as part of the bid package, but if you have already completed and returned one, please disregard. Bids must be submitted in a sealed envelope. Bids should be addressed to: Huntsville Utilities, P.O. Box 2048, Huntsville, Alabama, 35804, IFB Number and Bid Name and Attn: Appropriate Buyer. Quote terms, availability, firm price, and FOB Huntsville, Alabama, at Huntsville Utilities receiving points. We reserve the right to consider alternative pricing proposals. Please mark your envelope with the bid opening information in the lower left corner and include the bid number, opening date, Attn: Electric Materials Bid and Attn: John Lones. If you use a window envelope, this information must be visible. Each bidders sealed envelope should show in the lower left corner the following information: bid number, the bid opening date and time, and Attn: Appropriate Buyer. Responsibility for assuring bid arrival at bid opening location prior to bid opening time rests with the bidder. Huntsville Utilities is under no obligation to pay postage due on bid packages. Proposals and/or envelopes that do not contain this information may not arrive to the appropriate person and therefore be considered late. Unsigned proposals will not be considered. Bidders name, address, telephone number, facsimile number, e-mail address (if available) and contact person(s) must be included. Proposals may be withdrawn only by written request of the bidder, or by a superseding proposal. No Federal or State Taxes are to be included in your bid in whole or in part. Huntsville Utilities reserves the right to reject any bid, in whole or in part. Proposals must be received on the enclosed Proposal Form and in Excel on a company labeled USB Drive. The USB Drive should be labeled with the bidders company name and date. Bids not submitted on the enclosed Proposal Forms and USB Drives will be rejected. Supplemental information may be included via separate letter with your proposal Questions pertaining to the contract should be addressed to the administrator and contact person listed in the bid letter. Upon award, supplier is required to keep contact person informed of any new products that offer cost savings due to price, quality, or other advantages to either replace or supplement existing materials included in the contract.
