This contract may be extended, all or in part, for a period or periods up to one year at the discretion of the Township, by mutual agreement, in writing. The maximum contract period shall not be more than 3 years. The Township of South Glengarry will award their grass cutting contracts separately from the Raisin Region Conservation Authority. This Request for Quotation (the "RFQ") by the Township of South Glengarry invites Quotations from qualified Bidders for the provision of grass cutting and trimming in the Township of South Glengarry and the Raisin Region Conservation Authority as outlined in the RFP for two (2) complete seasons, being 2024 and 2025. The facility locations and requested services are provided in Appendix A. It will be the successful Contractor's responsibility to review all facilities sites with the Township/Conservation Authority prior. This review meeting must occur a minimum of one week prior to the commencement of installation. The Respondent must: a) Provide grass cutting in accordance with the requirements provided in Appendix A. Please note that highlighted mapping areas in Appendix A are approximate. Trimming in applicable locations is expected and the successful contractor may clarify locations during the initial site visit. b) Supply a list of 24/7 emergency contact information to enable the Township and Conservation Authority to contact operators if needed. c) Include trimming as part of their costing and contracted work. The scope of work for this RFQ is further described below: 1) The Contractor is to establish a cutting and trimming program in co-operation with, and acceptable to, the Township and Conservation Authority. A pre-season site meeting will be required to ensure that all specified areas are cut. The cutting program is to include priorities such as special times and certain days for cutting. 2) The height of the grass should not exceed 4" at any time. Typically, a cutting frequency of every seven (7) days is required, however, during the fast growing periods, an accelerated cutting frequency will be necessary. Trimming of grass and weeds is to be completed for all areas of the property including around buildings, parking areas, bleachers, benches, fences, water access areas, etc. 3) The Contractor is responsible for pickup of grass clippings caused by excessive grass height due to the delay in cutting and the disposal thereof off site. The Contractor is responsible for the moving of apparatus (i.e. bleacher and picnic tables) if necessary to trim grass to meet desired heights. 4) The five (5) cemetery locations are to be cut bi-weekly starting in May and ending in September. 5) The Contractor is responsible for the supply of all equipment and labour to complete the work assigned. Contractors submitting prices are required to have a mower(s) and trimmer(s) capable of performing the work and have suitable means for transporting such equipment. 6) The Contractor must be able to vary their working hours to suit the weather and have sufficient capacity to meet the cutting requirements.
