Renovation of a playground / park / athletic field in Brentwood, Tennessee. Completed plans call for the renovation of a playground / park / athletic field.

Question Submission Deadline: June 7, 2024, 2:00pm Question Response Deadline:June 10, 2024, 2:00pm The City of Brentwood is seeking proposals for General Contractor to Oversee Pavilion Construction at Crockett Park. The Brentwood Historic Commission intends to put a pavilion on the site of the former Brentvale cabin in Crockett Park. The cabin was removed two years ago, but the stone chimneys remain. Specifications Task 1. Perform as the General Contractor: This includes coordination of the project and obtaining final permits from the city. Manage design and installation interfaces with Pavilion provider and foundation contractor. Ensure compatibility and technical assurance of form and fit of all components of the project. To the extent practicable, provide historical representation in selection of windows, trim, roofing and siding elements of the structure. Provide quality assurance in delivering a compliant, completed project, on time through communication with all parties. Task 2. Timbers: Inspect historic timbers stored at the Crocket Park barn and convert into siding for the pavilion. Saw to an even thickness of 1/2 to 3/4 inch and prepare siding planks for installation. Install siding, and framing required, to achieve appearance as depicted in rendering attached. Assure proper sealing of the siding to protect against water intrusion into the structure. The rear of the Pavilion will not have siding installed; only sides and the front. Task 3. Roofing: The pavilion contractor provides wood tongue and groove decking. This task is to install the basic roof decking and complete the roofing with a modern shingled roofing that has an historic period appearance. Selection to be coordinated with Project Director. Ensure the roof is properly flashed to chimneys and that measures are installed to prevent weather leakage into pavilion interior. Install gutters and downspouts that have an historic character. Task 4. Windows and Trim: Install two operating windows, properly framed, similar to those on the provided rendering, and other trim around the windows, open door frame and elsewhere to enhance historic design character. Stain or paint exposed wood. Task 5. Pointing and Repair of Chimney and fireplace Stonework. To enhance appearance, point-up chimney and fireplace masonry joints and repair cracked or broken stonework to extent feasible and logical. Secure dampers to ensure the fireplace is inoperable and seal the top of the chimneys. {As a separate option, the chimneys may have to be lowered to be visually compatible with the roof ridge height. This topic to be separately discussed and would be separately priced}. Task 6. Install Concrete slab and footers compliant with the design criteria provided by the Pavilion contractor. Install a patio to the rear of the Pavilion, approximately the length of the Pavilion and 20 ft. to the rear, contiguous to the pavilion slab and compatible with the site grade. Task 7. Install Electrical service, lighting fixtures and plumbing connections to a hose bib. Electrical service and water connections were installed to the original Brentvale Cabin. Verbal submitted quotations will not be accepted. The City of Brentwood reserves the right to reject any and/or all proposals, to waive any irregularities or informalities in a proposal, and to accept any proposal, which, in its opinion, may be for the best interest of the City. Background The Brentwood Historic Commission has developed a unique concept for a three-walled pavilion that will pay homage to the former Brentvale cabin by incorporating the existing chimneys and reclaimed timber material from that historic structure. It was anticipated that two RFPs would be required for this project. The first RFP sought proposals for full design (foundation, electrical, and all vertical components) and construction of the base structure of the pavilion and roof deck. Following that RFP, the City entered into a contract with Homestead Timber Frames. This second RFP will select a general contractor (Homestead is not a GC) to pull the appropriate permits, conduct soil testing, install wall framing and windows, splitting the timbers into siding, installation of the siding, and installation of the roof surface. Question Deadline 03/25/2024 at 2:00 PM CT. Questions concerning the Request for Proposals should be submitted through electronically. Question Response Deadline: March 27, 2024, 2:00pm If a vendor submits both electronically and by a paper submission, the electronic submission will prevail. Any proposal received after the established closing date and time will not be accepted. The competitive sealed proposals shall not be disclosed during the negotiation and evaluation process, which shall follow their submittal and opening, but they shall be made open for public inspection after the intent to award the contract to a particular proposer is announced. Site Inspection If the proposer receives an award as a result of its proposal submission, failure to have made such investigations and examinations will in no way relieve the proposer from its obligation to comply in every detail with all provisions and requirements of these documents, nor will a plea of ignorance of such conditions and requirements be accepted as a basis for any claim whatsoever by the contractor for additional compensation. Proposal Requirements and Format The proposal shall be concise, well organized, and demonstrate the responder's qualifications and experience applicable to the project and understanding of the project. Include an overview of the proposal describing the highlights of the proposal. Failure to comply with the requirements of this RFP may result in disqualification.
