Reference Number 0000354504 Providing labor, materials and services for supply and installation of 2 indoor scoreboards at John Jay High School General Requirements - Bid Deposit Required - Certified Payroll - Installation Required - Insurance Required - Prevailing Wage Required Award Requirements - All or None Award Bonding Requirements - Bid Bond 10 % - Performance Bond 100 % - Labor and Materials Bond 100 % - Bidders shall be required to furnish, at their own expense, a bid bond or certified check in the amount of ten percent (10%) of the bid amount together with the bid. All bidders must complete the bid forms in their entirety. No phone, fax or email bids will be accepted. One original and two copies of the Bid Proposal must be submitted. *The Board of Education reserves the right to consider experience, service and reputation in connection with the services to be rendered. In addition, the Board of Education reserves the right to consider the financial responsibility and specific qualifications of the prospective bidder in its evaluation of the bids and award of the contracts as set forth in the bid specifications. Completion- August 15, 2024 Installation: 1. The successful bidder shall fully program and test the scoreboards at all locations. 2. The successful bidder shall provide on-site training to the School District as requested by the School District and at a time that is convenient for the School District and its staff. 3. Programming: The successful bidder shall furnish a two (2) year on-site warranty for the programming work necessary for successful installation and operation of the scoreboards, as required by these specifications. In addition, the successful bidder shall provide a guarantee on workmanship and materials for two (2) years from date of written acceptance of the completed project, except that all manufacturer warranties in excess of two (2) year warranty shall be transferred to the School District upon its acceptance of the installation of the final project. 4. All freight and delivery charges and the cost for removal of existing equipment shall be included in the bid price. 5. In addition to the above, the successful bidder shall: o Provide all necessary labor and materials for the installation. o Comply with all local and State building codes and provisions. o Maintain all necessary licenses for the installation requested. o Comply with the provisions of the New York State Prevailing Wage Law. o Certified payrolls must be submitted with all invoices. Invoices will not be processed if the certified payroll is not provided. o Training for school personnel on use of scoreboard systems shall be provided within five (5) days after the completion of installation. 6. All work shall be coordinated with the School District. The work of this contract shall be fully completed and approved by the School District no later than August 15, 2024. Failure to meet this deadline will subject the successful bidder to the assessment of liquidated damages. Specifications: o Scorevision (or equivalent) Indoor Scoreboard meeting following minimum specifications: o One (1) 17x10 LED Display (1280 x 768 | 983,040 Pixels per Display | 3.9mm) o Two (2) 8x5 LED Display (8x05 | 640x384 | 245,760 Pixels Per Display | 3.9mm including VX1000 Processor) o 10' Scorer's Table (Backlit Graphics with choice of standard color padding options.) o Personalized brand wrapper and school spirit banners o (15) sport animations o Rack o LED Shot Clocks o LED Installation & Commissioning o Software Subscription including: - Cloud Admin - Integrated Advertising - Scorekeeper Apps: basketball, volleyball, wrestling, and universal. - Producer App - SV Capture App: livestream, highlights, and moments - Fan App o Unlimited phone and email support 7 days a week Support & Training o Access to Support Team, new apps, continuous software updates, and future innovations No interpretation of the meaning of the bid specifications or other contract documents will be made to any bidder orally.
