Renovation of an educational facility in Deep River, Connecticut. Completed plans call for the renovation of a educational facility.
The Regional School District No. 4 Board of Education of the State of Connecticut ("RSD 4 Board") hereby invites the submission of sealed Proposals for the Cleaning or Replacement of Auditorium Stage Curtains at John Winthrop Middle School in Deep River Connecticut 06417 ("JWMS" or the "School"). This request is in connection to the overall Mold Remediation Project at John Winthrop, State Project No, 204-0018 A/CV. Question Deadline 01/09/2025 at 2:00 PM ET Information requests are to be made in writing to Fred Gerber, Facilities Director, by email to Fred Gerber at fgerber@reg4.k12.ct.us and must be received SCOPE OF SERVICES The successful Proposer shall contract with RSD 4 Board to provide one or both of the following proposals. 1. Provide a quotation for the fabrication, delivery and installation of a new set of curtains for the John Winthrop Middle School Auditorium. The contractor will be responsible for the following: a. Verification of the proper size. b. Verification of washing technique, if necessary. c. Verification of the material to be used. Section 3 of the Scope of Services outlines the type of material to be used for this replacement. d. There is a set of 3 canvas curtains currently used by the stage. The proposer must identify if these curtains can be cleaned, and if replaced that they are replaced with the proper material. e. All curtains must be certified as permanently fireproof f. The contractor will be responsible for all aspects of installation, including but not limited to lift, fasteners, cables, tracks, etc. 2. Provide a quotation for cleaning/laundering of the current set of curtains at John Winthrop Middle School. The contractor will be responsible for the following: a. Laundering of all stage curtains. All curtains are currently stored in a box on site. b. Cleaning and removal of any fungal growth on all stage curtains, specifically the three canvas curtains. c. Many of the curtains are listed as permanently fire proofed. The contractor is responsible for verifying this fireproofing and to make sure any items not identified as such are fire proofed accordingly. It is believed that the 3 canvas curtains do not have permanent fireproofing and will need to be treated as such. d. The contractor will be responsible for all aspects of installation, including but not limited to lift, fasteners, cables, tracks, etc. 3. The curtains are the following sizes. It is the responsibility of the contractor to verify the size and orientation of each curtain before quoting the replacement. a. The quantity and size of the current set of curtains is as follows: i. Canvas Curtains 1. 1- 53' x 5' 2. 2 - 36' x 20' ii. Velvet Curtains 1. 4 - 19.5' x 35' 2. 3 - 5' x 60' 3. 2 - 20' x 6' 4. 1- 20' x 13' 5. 1 - 20' x 8' REGIONAL SCHOOL DISTRICT #4 REQUEST FOR PROPOSALS CLEANING OR REPLACEMENT OF AUDITORIUM STAGE CURTAINS JOHN WINTHROP MIDDLE SCHOOL b. The curtains are to be replaced with Valdosta Velour IFR, or an equivalent material. Proposals should include a specification of the proposed curtains for approval by the District. i. The main curtains are to be replaced with 18-20 oz material. ii. The secondary curtains are to be replaced with 14-15 oz material iii. The color of the Main Curtain is to be determined by the School District. The secondary curtains are to be colored black. iv. If the proposer recommends a different material be used, please provide a brief description and explanation for the change in material, and submit the necessary specification sheets to accompany the description. 4. The curtains must be installed and project completed by March 1, 2025. If the proposer feels that this timeline is not able to be met, they are to submit a revised timeline with their proposal for consideration. 5. The contractor will be required to handle all other customary activities and services associated with this scope of work. 6. The successful bidder shall be responsible for clearing all debris on a daily basis. The successful bidder shall be responsible for the protection and safety of the surrounding structures and areas of the school. It is the contractor's responsibility to ensure that the stage and surrounding areas are not damaged by the lift or any debris. 7. All materials shall be installed in accordance with manufacturer's specifications. Inspections will be performed while the work is in progress and at the completion of the project to insure compliance with the Scope of Work and all federal, state, and local regulations. 8. RSD 4 Board and the successful Proposer shall negotiate a contract or contracts for the Services, which contract or contracts shall include the provisions in these Proposal Documents and such additional provisions that RSD 4 Board deems necessary. The parties shall negotiate a final Contract within a reasonable time period after the selection of a Proposer. If the parties cannot agree on a Contract within thirty (30) days after RSD 4 Board has selected a Proposer, RSD 4 Board may enter into discussions with another Proposer. Each Proposer shall be thoroughly familiar with all the terms, conditions, and provisions of the Proposal Documents. 9. Information from Proposals may be incorporated into the final Contract, as determined by RSD 4 Board. 10. These Proposal Documents are not a contract offer, and no contract will exist unless and until a written Contract is signed by RSD 4 Board and the successful Proposer. 11. Please note: All information submitted for review may be subject to the Freedom of Information Act and may be made available upon request by the public. Proposers should identify any confidential, proprietary information or trade secrets and provide justification why such material should not be disclosed. REGIONAL SCHOOL DISTRICT #4 REQUEST FOR PROPOSALS CLEANING OR REPLACEMENT OF AUDITORIUM STAGE CURTAINS JOHN WINTHROP MIDDLE SCHOOL 12. Notwithstanding anything to the contrary herein, by submitting a Proposal, the Proposer thereby acknowledges that pursuant to Connecticut General Statutes 10 - 241d, as amended, RSD 4 Board may consult with the legislative bodies of its member towns regarding this Invitation to Submit Proposals and any and all responses thereto and any other related information.
