Tenders are being accepted for the loading and placement of approximately 25,000 cubic yards of gravel for the 2025 season, March (weather permitting) through to August 1, 2025, for maintenance of various roads within the boundaries of the R.M. of Maple Creek No. 111 and to requested residential driveways of the municipality. This tender does not include any construction or emergency projects. Pit Location Name of Pit Approx. Yards To Be Removed NE 16-09-25W3M Bryson Pit 5,000 cubic yards SE 03-10-25W3M Link Pit 7,000 cubic yards SE 28-12-28W3M Kramer Pit 10,000 cubic yards NE 24-05-29W3M Reno Pit 3000 cubic yards The Contractor hereby tenders under the following terms: a) Contract is for the 2025 season. b) Contractor to furnish all labour, competent supervision and equipment to perform work as specified; a full list of equipment as well as the insurance coverage for the equipment/machinery to be provided in the Tender. c) Contractor will be responsible for submitting a method of gravel measurements, with method to be included in the Tender submission. Example: Gravel tickets and maps, truck scaling load outs or the services of a qualified engineer or registered independent surveyor. Note that the gravel piles with be measured before and after the gravel haul by a third party hired by the RM of Maple Creek No. 111. The difference in the piles will be compared to the cubic yards billed for gravel loading and hauling. d) Contractor must submit a letter of good standing from WCB with Tender. e) Contractor must carry a minimum of $5 million per incident in liability insurance and include proof of current liability insurance in the Tender submission. f) Contractor must provide the RM with their safety program. Ex. truck speeds, work times, signage, number of employees, etc. should the tender be awarded to a successful contractor. g) Cost of loading and haul rate or combined costs, minimum haul mileage, mobilization charges, loading charge, any other charges, including all taxes, and a total price to be submitted with the Tender. h) Cost of private ratepayer haul charge(s) to be submitted with the Tender. i) Contractor to include an expected start and finish date with the Tender. j) Hauling to be completed by August 1, 2025. A completion bonus will be offered of $5,000.00 if all 25,000 yards are hauled before August 1, 2025. A non-compliant of $0.20 per yard for all outstanding amounts will be deducted from the last invoice. Hauler dismisses the municipality from the sole hauling right for unhauled amounts after August 1, 2025. k) If the bonus is earned it will be paid upon the completion of all gravel haul needs (ratepayer driveways, construction projects, etc) for 2025 season and will be voided if all gravel hauling is not completed by October 15, 2025. l) If weather events restrict the ability to haul, extensions may be granted under the direction of the foreman and council. m) The Rural Municipality of Maple Creek No 111 is not responsible for any damages incurred to the Contractors equipment. n) The Contractor must report any damages or incidents to the Administrator within 48 hours. o) Vehicles greater than 10,000 kilograms restricted to a speed not greater than sixty (60) km per hour on all municipal roads within the Rural Municipality of Maple Creek No. 111. p) Gravel trucks must reduce speed when meeting vehicles on the road and going past residences and farmyards. q) The Contractor shall not be entitled to assign this agreement without the written consent of the RM. r) The RM may exercise the right to provide a Gravel Checker, should they deem it necessary. s) No work shall be done until an agreement has been executed by both parties thereto. t) Custom ratepayer invoicing must be segregated from any invoices being submitted to the RM for payment. u) Marked division maps will be provided to the contractor and the contractor will submit invoices by division when work is completed. Invoicing is required in accordance with specific requirements to be discussed with Administration. v) Minimum of two references with contact information required with Tender.
