The City of Broken Arrow is inviting proposals to provide a Grounds Maintenance in accordance with the terms and conditions detailed herein. The successful firm will enter into an annual agreement effective from the date of the City Council award through June 30th, 2025. Additional annual terms may be granted at the discretion of the City Council. Email any technical issue and specification questions pertaining to this BID to bdampf@brokenarrowok.gov by 3:00 p.m. on Tuesday, March 4, 2025. Include a phone number and specifically reference the section of the BID in question. All questions must be submitted in writing and submitted 48 hours prior to bid closing. The period of performance for services subject to this solicitation and any resulting contract shall be from award through June 30, 2025, to include at the option of the City of Broken Arrow, one-year annual renewal periods: 7/1/2025 to 6/30/2026 7/1/2026 to 6/30/2027 7/1/2027 to 6/30/2028 7/1/2028 to 6/30/2029 7/1/2029 to 6/30/2030 The contractor must make all attempts not to damage any plant material. The City reserves the right to liquidate damages that are incurred by the contractors during the maintenance cycle. Tree damages will be liquidated as follows: $100.00 for slightly damaged trees, which is damage that may heal; and $200.00 for badly damaged trees which in the opinion of the Horticulture Section may eventually contribute to the death of the tree. Liquidated damages in the amount prescribed will be paid to the City by the contractor, or deducted from any payments due the contractor, or subject to claim by the City under provisions of public liability, property damage insurance policy in effect. The contractor shall furnish the City with a contract performance bond in the amount of Five Thousand Dollars ($5,000.00) guaranteeing the contractor will perform each and every obligation under its contract.
