Mowing and trimming of the City of Sutton cemetery. An outline of the cemetery area to be mowed/ trimmed is attached. Details in the bid shall follow the specific requests that follows: 1. The bid needs to provide two separate rates for: 1) the primary rate (weekly rate) and 2) a special rate (hourly rate). The mowing and trimming services include: mowing open areas, mowing between marker stones, trimming around objects (such as markers, trees, benches, etc.) and trimming around fences as referenced with the attached outline of the cemetery. Mowing and trimming services would be performed, at a minimum of once every week. Any special situations, which may require additional time to mow and trim (twice in one week); such as, if wet weather encourages grass to grow faster prior to a special holiday or prior to a funeral. The weekly rate will be utilized to pay the bidder awarded the contract; although, if any 'additional' mowing and/or trimming is required and authorized by the city due to special situations, then the hourly rate will be added to the primary rate of payment to the contractor winning the bid. Rate provided will be used for both the 2025 and 2026 mowing/trimming season at the cemetery. 2. The contractor is expected to have their own equipment, provide their own fuel and other needed items that allow the bidder to complete the work. It is suggested that mower heads be smaller to fit between cemetery markers. 3. The bidder providing this service as a contracted service to the city will be performed on a weekly basis as an independent contractor or individual. For special situations where mowing is requested by the city for more than once a week, the extra time accumulated will be added on an hourly basis. Most locations can be mulched during the season. Bagging will be required at the beginning and end of the season, or as the city deems necessary. Any bagged clippings will need to be disposed of at the city compost pile. 4. The entire cemetery grounds are expected to be mowed and trimmed on a routine weekly basis. The entrance ditch which is on the east side of the fence up to the road is part of the cemetery grounds. The mowing responsibility on the west portion of the cemetery borders up to the west tree line. 5. Subject to substantial growing conditions, the city may request 'additional' mowing for the bidder. Bidders should provide any information about availability for additional special mowing-trimming needs. 6. The bidder shall provide mowing information of the company or the individual. Preference will be provided to a bidder with years in mowing business (please provide the years you have been in business), efficiency of work which indicates equipment (share type of equipment you have) and number of employees working with you (share how many workers will be helping with mowing). 7. Bidders should understand that the contract period for the 2025 & 2026 mowing-trimming season varies with grass & weather conditions; although, the season typically can begin in March and extend through November. 8. Bidders should provide proof of insurance coverage from the company or individually that would cover any damages caused at the cemetery while contracted to provide this service to the city. At the above-mentioned deadline, bids will be opened at a meeting within City Hall, which is open to bidders. The bid need not be awarded at the time of opening, but rather the City reserves the right to hold over bids for further examination and consideration to be presented to the cemetery board and to the city council at the next regular meeting. Bids received after the submission deadline will be rejected. The City of Sutton reserves the right to reject any or all bids or parts of bids, to waive irregularities and technicalities, and to request re-bid on the project.
