The City of Greenacres, Florida is seeking proposals from qualified and experienced vendors toreplace current equipment currently providing audiovisual (AV) functionality in the Council Chambers at City Hall and the Banquet Hall at the Community Center. The City reserves the right to accept or reject any and all proposals and to waive any technicalitiesor irregularities therein. The City further reserves the right to award the agreement to that proposerwhose proposal best complies with the proposal specifications. Proposers may withdraw theirproposals by notifying the City in writing at any time prior to the deadline for proposal submittal.After the deadline, the proposal will constitute an irrevocable offer, for a period of ninety (90) days.Once opened, proposals become a record of the City and will not be returned to the proposers. The City desires to replace the current equipment providing audiovisual (AV) functionality in the Council Chambers at City Hall and in the Community Center Banquet Hall. The City s Information Technology Department has conducted research. The name brands below are not mandatory; however, they have the minimum capabilities the City needs. City Hall - Council Chambers (5800 Melaleuca Lane, Greenacres, FL 33463): Uninstall the following existing AV equipment at the indicated locations. Rack cabinet in the Council chamber storage room: - Atlona AT-UHD-SW-5000LD video switcher and connected Atlona transmitters and receivers. - Lectrosonics DM1612 audio processor. - Crestron CP2E control processor. Assistant City Clerks desk: - Crestron touch panel. Provide and install a new Crestron or equivalent system to provide the functionality of the above devices being replaced: Repurpose and reuse the Cat6 network cabling for HDMI video display to the staff table and projector. Rewire the existing rack cabinet to accommodate the new equipment. The proposed system must provide the following functionality at a minimum: - 4K video resolution - Video routing to the existing ceiling-mounted projector, monitors on the dais and wall-mounted television. - Audio processing and routing to all speakers in the chamber and lobby - AV system control - Audio and video routing to the system providing live streaming of meetings to the Internet. - Touch panel control at the Assistant City Clerks desk, with simplified switching between inputs from the staff table, Assistant City Clerks desk and wireless connections from computers and mobile devices. - Remote management over the network.
