This project aims to replace the existing equipment to create an accessible and engaging outdoor fitness space that benefits the entire Los Altos community. Proposals will provide a recommended equipment package that will allow staff to select the best fit for general public use for ages 14 and up. Working with the selected vendor, the final equipment package may be modified. This RFB outlines the project scope, requirements, and evaluation criteria for selecting the most qualified vendor. 2. Project Goals and Objectives The primary goals of this project are to: _ Design a functional and inviting outdoor fitness area that accommodates a wide range of fitness levels and interests. _ Procure high-quality, durable, and safe commercial-grade outdoor fitness equipment suitable for long-term use in the climate of Los Altos, CA. _ Ensure professional and efficient installation of all equipment, adhering to safety standards and manufacturer specifications. _ Optimize the use of the designated space. _ Complete the project within the allocated budget not to exceed $145,000. _ Comply with all applicable local regulations and ordinances. 3. Scope of Work The selected vendor will be responsible for the following: Design Phase: o Conduct a thorough site assessment of the designated area for the equipment placement (west side of the youth baseball field). o Develop a detailed design proposal for the outdoor fitness area, including: _ Layout plan with equipment placement and use zones. _ Equipment specifications (manufacturer, model, materials). _ Accessibility considerations (ADA compliance). _ 3D renderings of the proposed design. _ Warranty information and maintenance requirements o Incorporate feedback from the City of Los Altos on the initial design concepts. o Ensure design compliance with all relevant safety standards (e.g., ASTM F1487) and accessibility guidelines (e.g., ADA). o Address any specific requirements or preferences of the City of Los Altos related to park or recreational facility development. o Obtain any necessary permits or approvals from the City of Los Altos. _ Procurement Phase: o Source and purchase the specified commercial-grade outdoor fitness equipment. o Manage all aspects of equipment ordering, shipping, and delivery to the installation site. _ Installation Phase: o Remove and dispose of the existing fitness equipment currently in the designated space. o Prepare the installation site, including any necessary grading, leveling, or surface preparation. o Install all fitness equipment according to manufacturer instructions and safety guidelines. o Touch up existing decomposed granite surfacing as required. o Conduct a final safety inspection of the installed equipment and surfacing. Provide training to designated personnel on the proper use and basic maintenance of the equipment. _ Post-Installation Phase o Provide close-out documentation, including warranties, maintenance manuals, certifications, safety inspection reports, and as-built drawings. o Offer ongoing support for maintenance and repairs, if requested, including response times and service level agreements. 4. Existing Conditions Information _ Location: Hillview Park (97 Hillview Ave.) along the west side of the youth baseball field. _ Approximate Area Available: 51' x 24' _ Current Site Conditions: Outdoor fitness equipment that is beyond useful life _ Surfacing: decomposed granite (DG) to remain. _ Utilities: Water and electricity are available near the installation site. _ Existing Conditions Plan: City will make plans available. 5. Proposals Requirements Interested vendors are required to submit a comprehensive yet concise proposal that includes the following information, organized into the sections below: _ 5.1. Company Profile and Experience (2 page max): o A brief overview of your company, including its history, mission, and relevant experience in designing, supplying, and installing commercial outdoor fitness equipment. o Provide details of at least three (3) projects completed similar in scope, budget and services within the last five (5) years, including: _ Client names and contact information. _ Project descriptions and locations. _ Project scope, budget, and timeline. _ Photographs or other visual documentation of completed projects. o Include information on your company's safety record, certifications (e.g., IPEMA), and any relevant licenses. o Describe your experience working with municipalities or public agencies in California, particularly in the Silicon Valley area. 5.2. Design Approach and Methodology (1 page max): o A detailed explanation of your design philosophy and process for creating functional, engaging, and safe outdoor fitness spaces. o Describe how you will assess the site, consider the needs of the target user group, and incorporate the project goals and objectives into your design proposals. o Explain your approach to ensuring safety, accessibility (including ADA compliance), and durability in your designs. o Describe how you will address the specific climate and environmental conditions of Los Altos, CA, in your design and equipment selection (e.g., resistance to sun exposure, heat, and occasional rain). _ 5.3. Equipment Design (1 page max): o Details for the proposed commercial-grade outdoor fitness equipment, including: _ Product layout plan for how all of the equipment fits together in the space provided, including product use zones. _ Product specifications including manufacturer names, model numbers, and materials; dimensions, weight, and space requirements; weight limits and user capacity. _ Maintenance requirements and recommendations. o The design should include different types of equipment that cater to various fitness levels and user groups (e.g., strength, cardio, flexibility, and inclusive equipment for users with disabilities). o Highlight the durability, weather resistance, and vandal resistance of the proposed equipment. o Specify the availability of replacement parts and ongoing support. o Describe any sustainable practices or environmentally friendly materials in the equipment and/or installation processes. _ 5.4. Installation Plan (1 page max): o A detailed plan outlining your approach to: _ Removal and disposal of current fitness equipment. _ Site preparation (including any necessary excavation, grading, or surface preparation). _ Equipment installation (including anchoring methods and foundation requirements). _ Scheduling and coordination of installation activities. o Provide a proposed timeline for each phase of the project, from design approval to final installation. o Describe your quality control procedures to ensure proper and safe installation. o Include a plan for site cleanup and restoration after installation is complete. _ 5.5. Pricing (1 page max): o A comprehensive breakdown of all costs associated with the project, including: _ Design fees (if applicable). _ Equipment costs (itemize each piece of equipment). _ Shipping and delivery charges. _ Installation costs (labor, materials for surfacing, etc.). _ Any applicable taxes. _ Total project cost. o Clearly state your payment terms and any potential additional costs, exclusions or additional services. o Provide information on any available discounts, value-added services and possible additive alternates. _ 5.6.
