As of November 12th, 2025, this project has not been awarded. A timeline for award has not yet been established. Oklahoma State University Center for Health Sciences (OSU CHS) is requesting proposals for a supplier to provide and install audio visual equipment on the Tahlequah campus. Questions are due electronically no later than Fri, 03Oct2025 by 12:00noon CST via Q/A board. Questions must be submitted individually. The project scope is to remove existing equipment and install new equipment, providing storage as needed, for a total of 3 rooms at the Oklahoma State University College of Osteopathic Medicine at Cherokee Nation (OSUCOM-CN) campus located in Tahlequah, OK. b. No programming is necessary. c. Award will be based on an All or None. d. The list of equipment and labor needs are in 3 separate documents in the "Buyer Attachments" section of this RFP. e. This will be 2 separate projects with 2 different timelines. f. Project #1 consists of the 1st floor Lecture Hall 1 and 3rd floor Lecture Hall 2 (LH1 and LH2): i. Vendor will replace all televisions and receivers including raising confidence monitors up 1'. 85" televisions will need to be adjusted to allow for viewing from the back of the room and to allow room for the video wall. ii. iii. Vendor will be responsible for installing video wall, running CAT6A shielded for the NVX receiver and a CAT6 as an extra cable, and providing customer requirements for installation within 15 days of the bid being awarded. Vendor will be responsible for replacing the two student cameras and switching out the Vaddio Roboshot part of the tracking camera system. iv. Vendor will be responsible for taking down serial numbers, applicable MAC addresses, and noting locations of all vendor installed equipment. v. Vendor will take down equipment and place it in a designated room in the building for storage. vi. Installation is between December 15th and January 2. The building is closed December 24-28. The preferred timeline is to have LH1 installed by December 23 and LH 2 by December 31. vii. OSU CHS will be responsible for installing any equipment not outlined here, and programming. g. Project #2 consists of the 1st floor OMM Lab i. Vendor will be responsible for swapping out all televisions and receivers behind the displays ii. iii. Vendor will be responsible for switching out all cameras. Vendor will be responsible for taking down serial numbers, applicable MAC addresses, and noting locations of all vendor installed equipment. iv. Vendor will take down equipment and place in a designated room in the building for storage. v. Installation is targeted for late May 2026, with the intention to order the equipment by February, 2026. vi. OSU CHS will be responsible for installing any equipment not outlined here, and programming. h. New equipment and related parts are required. No substitutions, no after-market, or refurbished equipment or parts will be accepted. Failure to comply will revoke the procurement process for the vendor. Returned equipment and re-stocking fees will be at the vendor's expense. i. Due to the project timelines and equipment shortages, damaged equipment will not be processed for payment. If damaged items are received, it is the vendor's responsibility to work with the distributor to replace the damaged equipment before payment can be released.
