Renovation of an educational facility in Battle Creek, Michigan. Completed plans call for the renovation of a one-story above grade educational facility.
Question Deadline 11/14/2025 All inquiries regarding this RFP must be submitted in writing to: Stephanie Lemmer, Superintendent Email: lemmers@pennfield.net The scope of work includes, but is not limited to: providing all equipment, materials, and labor necessary for installation; configuring devices for Wi-Fi network connectivity and SMS alert notifications; integrating the detection system with the district's existing ExacqVision VMS; testing system functionality and ensuring full operational performance; training district staff on system operation, maintenance, and alert management; and providing technical documentation, warranty information, and ongoing support options. The purpose of this project is to enhance campus safety and promote a healthy learning environment by detecting and discouraging vaping and related activities within school facilities. 2. Project Overview The selected vendor will supply and install vape detectors in designated areas of Pennfield High School. The system must integrate seamlessly with existing campus security systems and provide real-time alerts to administrative and security personnel. 3. Required Features and Specifications Each proposed vape detection unit must include or support the following minimum features: Wi-Fi Connectivity: Devices must connect securely to the district's wireless network for monitoring and alert transmission. Battery Operated: Units must operate independently of hardwired power and offer sufficient battery life for extended maintenance cycles. SMS Alerts: The system must send instant SMS notifications to designated staff upon detection of vape or smoke events. VMS Integration: Full integration capability with ExacqVision Video Management System (VMS) to provide synchronized video footage corresponding to vape detection alerts. 4. Scope of Work The scope of work includes, but is not limited to: Providing all equipment, materials, and labor necessary for installation. Company profile, including experience with vape detection technology and K-12 installations. 2. Technical specifications for the proposed equipment. 3. Description of system integration process with ExacqVision. 4. Implementation timeline. 5. Cost proposal, including itemized pricing and optional maintenance/service plans. 6. References from at least three (3) educational dients. 6. Evaluation Criteria Proposals will be evaluated based on the following criteria: Compliance with required features and technical specifications. Cost-effectiveness and total value. Vendor experience and references. Warranty, maintenance, and support options. Implementation timeline and training plan Vendors must include the following information in their proposals: company profile, including experience with vape detection technology and K-12 installations; technical specifications for the proposed equipment; description of system integration process with ExacqVision; implementation timeline; cost proposal, including itemized pricing and optional maintenance/service plans; and references from at least three educational clients. Proposals must be submitted electronically in PDF format. Late proposals will not be considered.
