The Town of Ajax is inviting bids from qualified companies for the supply and delivery of grass seed within the Town. Unit prices must cover all labour, materials, fuel, equipment, and services necessary for the supply and delivery of the specified goods. Bidders are required to submit their bids electronically through the Town’s Bidding System. All mandatory fields must be completed and all additional requested forms or documents uploaded as instructed. Hard copy submissions are not accepted. Bidders must have a Vendor account on the Bidding System and register as a Plan Taker for each bid opportunity. Bid prices must include all incidental costs such as delivery, disbursements, equipment, travel, insurance, customs, duty, fuels, and environmental fees. No claim for extra work will be entertained unless authorized in writing by the Town. Delivery is to be made to 800 Salem Road North, Ajax, ON, and bidders may be required to off-load products without Town assistance. Delivery quantities will be determined by Town requirements and available storage capacity, with no minimum order quantity. Initial delivery will be required by early Spring, subject to award and purchase order. All seed varieties in the mix must be Canada Certified Seed, and perennial ryegrass varieties must be entophyte enhanced. The final seed blend varieties must be ranked in the top 25 of the most current National Turfgrass Evaluation Program for the North Central Region “Mean” rating for “Turfgrass Quality.” Alternative or substitute products will not be accepted. All requested products must be new, properly labeled and sealed in 25 kg/55lb bags, and shrink wrapped on standard pallets. Prior to award, the Town may request seed samples for purity testing, to be provided within 5 working days at no cost to the Town. The contract is intended for one year, with the option for the Town to renew for up to four additional one-year terms, subject to approval and satisfactory performance. Bidders must have experience on similar projects and provide a minimum of three references from different agencies or companies for similar work within the past five years. Full compliance with the bid documents and requirements is mandatory.
