Washington County is requesting bids for a 1-year contract, with the option to renew for up to 5 years, on HVAC filter purchases for all Washington County Buildings operated by the Facilities, Fleet, & Parks Department. The selected vendor must supply all HVAC filters needed, including delivery to a designated centralized County location in Hillsboro, Oregon. All delivery fees and overhead costs must be included in the filter costs. Delivery is expected within 2 weeks (10 business days) from purchase unless alternative arrangements are made with the Contract Administrator. Any supply chain disruptions causing delivery beyond 10 business days must be immediately communicated to the County. Filters must be organized and shipped by building name according to the provided filter schedule spreadsheet, and the County may request separate pricing proposals for filter needs outside of the provided schedule. Throughout the contract, the County may periodically request pricing and availability for specialty equipment including UV lighting and specialty filters. Product specifications include three ply internally supported wire, ring panel and link filters, activated carbon/charcoal filters, mesh pre-filters, cube filters, pleated filters, and specialty filters such as fire retardant nanofiber filters.Question Deadline 01/27/2026 at 5:00 PM PT Bids must be responsive with pricing for each building's filter size and type and pricing must be held for a minimum of 6 months. All bids must conform to the requirements of the bid documents and applicable laws. The County may reject any bid not in compliance or for good cause if it is in the public interest. The County reserves the right to reject any and all bids and to waive informalities in the best interest of the County. Bidders are solely responsible for ensuring timely and successful submission of their bids.
