It is the intent of the Vehicle/Equipment Specifications to describe vehicles/equipment, referred to as units, required by the City of Medicine Hat. The unit(s) shall be the manufacturer's current model and all equipment is to be factory installed. Bidders must clarify any errors or omissions prior to closing. Each specification item must have the "Yes," "No," and/or "Details" column completed, including information on units, compliance, options, and any local installations. Specifications marked as "Mandatory" must be met exactly; "Approximate or Desired” specifications require detailed offerings. The City may allow variations or consider costs of retrofitting for non-offered but required items. Additional documentation, such as maintenance and parts manuals, may be requested. The Purchase Price must be in Canadian Dollars, including all taxes except GST, and unit prices may be used for increased or decreased quantities. Payment terms are net 30 days, with possible discounts for early payment. The City reserves the right to select or delete options based on requirements and budget. Basic warranty information must be supplied, with full terms attached. Delivery dates must be specified for each unit, and units can be delivered up to 30 days after the specified date, subject to conditions on manufacturer delay. Units must be delivered FOB to the City’s Transportation Garage, freight prepaid and allowed. Proposals must be submitted online, on time, and in PDF format, clearly identified with the RFP number, title, and proponent name. A signed Submission Form, completed Specifications including all pricing, warranty, delivery, and other requirements, and at least three references are required. Past performance and references, a list of assumptions, and compliance with delivery terms and specifications will be evaluated. Addenda acknowledgment is mandatory if issued.
