Scope of Work: - Provide 16 hours of cleaning services per week. - Work an 8-hour shift per scheduled workday. - Perform work on a rotating weekend schedule, consisting of every third weekend. - When not scheduled for weekend work, shifts will occur on either Fridays or Mondays, as assigned. - Shifts will be scheduled as either: Day Shift: 7:00 a.m. – 3:00 p.m., or Afternoon Shift: 11:00 a.m. – 7:00 p.m. - Complete cleaning tasks in accordance with a pre-defined cleaning schedule which identifies all areas of the facility requiring service. - Complete and submit cleaning logs, checklists, and required documentation at the end of each shift. - Assign no more than two (2) to three (3) dedicated cleaners to the facility. Rotating multiple cleaners through the site is not permitted. - Ensure all assigned staff complete required safety, security, and UMAB training prior to commencing work. - Provide proof of insurance and bonding for all assigned cleaners. - Ensure all cleaners obtain and maintain a valid BSC (Background Screening Check). - Use only cleaning supplies and equipment provided by the organization. The use of external or vendor-supplied cleaning materials or equipment is not permitted. - Comply with all site-specific policies, procedures, and documentation requirements. Instructions to Bidders: - Vendor contact information, WSIB, and insurance required. - Proposed approach to the work, including timing and milestones, must be provided. - Proposed price with major costs, fees, and expenses with all costing assumptions detailed. - Disclosure of any actual or possibly perceived conflict of interest is required. - Two references for similar work in the past five years must be provided. - Bidders must not be a U.S. business as defined in the document. Failure to meet eligibility will result in disqualification. - Proposal submissions will only be accepted via Bids and Tender. Interested bidders must create a Bids and Tender account to submit proposals, questions, and follow status. - All vendor submissions must be received electronically by the stated deadline. - Proposals will be evaluated based on price (40%), approach and work plan (20%), vendor experience and qualifications (15%), and references (10%). - Kinark reserves the right to reject any or all proposals, cancel or withdraw the RFP, request further information, waive any formalities or informalities, and accept the proposal that best serves the interests of the organization. - The contract signing process may take up to 6 weeks.
