The Prentiss County School District is seeking to upgrade its E-Rate eligible category 2 equipment, cabling, managed services, and basic maintenance through a contract. The contract will be for two years and three months for all internal connections equipment and services for the 2026 funding year, and a five-year contract for managed internal broadband services and basic maintenance of internal connections. Pricing for internal connections equipment and services must be honored until the service delivery deadline for the 2026 funding year, with extensions if necessary; the agreement may be used for up to three funding years. The project includes cabling, equipment, managed services, and basic maintenance, and vendors may bid on one, multiple, or all parts, or for select sites. Discounts for bundled pricing will be considered. The bid requires submission of a Letter of Intent to Bid, attendance at a mandatory meeting, and adherence to detailed bid submission instructions. Proposals must be all-inclusive, covering taxes, shipping, installation, configuration, cabling, training, technical support, and trash removal, using only new equipment from authorized resellers. Bids must include a completed Bid Worksheet as the first page, with line-item pricing on the vendor’s standard quote form. Bidders must submit one original, one copy, and one electronic copy of their response, in a sealed and properly marked envelope. Faxed or emailed proposals will not be accepted. Additional required documents and bid details must be included as specified. Late bids and proposals not meeting submission requirements will be rejected. The Board of Trustees reserves the right to reject any or all bids and waive any informality.
