This Request for Proposal (RFP) invites prospective respondents to submit non-binding proposals for the provision of HVAC air filtration products and services, including but not limited to various types of high-efficiency filters (MERV, HEPA, ULPA), filter accessories, and advanced filtration technologies. The scope addresses a diverse portfolio of buildings, requiring products of different sizes, types, and replacement schedules. The supplier is expected to maintain proper inventory levels, provide delivery within agreed-upon lead times, offer excellent customer service including exchange and returns, and include all shipping and delivery costs within pricing. Key services required include testing and certification, field performance validation, product training for staff, product assessments with recommendations, maintenance, installation, and technical support. All products must comply with relevant standards (ASHRAE, UL, ISO, CSA) and regulatory requirements. The expectation is for suppliers to offer both disposable and reusable products, ensure compatibility with existing HVAC systems, provide innovative and energy-efficient solutions, and support ongoing operations through responsive service and robust supply assurance. No minimum order quantities or fees are allowed, and suppliers must coordinate with the University's procurement process for regular, timely deliveries. Product warranty and handling of recalls, defects, and discontinued items are also included. Proposals must be submitted in English, and suppliers are required to demonstrate experience in providing air filtration solutions in large, complex environments and be authorized distributors of OEM products.
