Renovation of an educational facility in Lynchburg, Virginia. Completed plans call for the renovation of a educational facility.
Furnish and install a Kolpak Walk-In Cooler at Heritage Elementary School. Any questions which may arise as a result of this solicitation may be addressed to Matt Marsteller, Contract Specialist, at 434-455-4233, or by email to matthew.marsteller@lynchburgva.gov Inquiries must be received at least 7 calendar days prior to the due date in order to be considered. In this case, prior to June 18, 2026 by 3:00 p.m. Scope of Work & Installation The purpose of this Invitation to Bid isfor the turn-key installation of a new Kolpak Walk-In Cooler and its related components and accessories. It is to be per the following, but not limited to these instructions: 1. Prior to the bid, equipment supplier SHALL visit the job site to verify job conditions and to determine the work to be done. If the Optional On-site Pre-bid Meeting cannot be attended, advanced arrangements for a site visit must be coordinated through the Lynchburg City Schools' Director of School Nutrition by contacting Beth Morris at 434-455-5062. 2. Disconnect, disassemble and remove the existing cooler, recover & dispose of refrigerant and dispose of all materials from site. This must be done at the earliest possible date before the new cooler is scheduled to be installed so floor examination can be made and repairs made if necessary, prior to installation. 3. Deliver and unload the new Kolpak Walk-In Cooler. Assemble the box fully in accordance with the manufacturer's instructions. 4. The existing electrical service is to be examined prior to installation to determine that it is of correct load size and re-usable condition to adequately and safely operate the new refrigeration systems and interior electrical requirements. Advise in advance of any additional electrical service that may be required. Make all final electrical connections required to operate the Walk-In Cooler. 5. The refrigeration systems are to be fully installed in a neat workman like manor including refrigeration lines, insulation, control wiring, and drain lines. The refrigeration system is to be installed with current, R454A refrigerant, started up and run to the satisfaction of the Owner. Final and complete installation is to be approved by the LCS Director of School Nutrition and an LCS representative from the Facilities and Maintenance Department. 6. All debris and trash resulting from the installation is to be removed from the site by the installer. 7. All work is to be in accordance with local and national codes and is to be inspected and approved by City of Lynchburg, Virginia code officials. 8. The awarded contractor shall perform the scope of work and have the project fully completed no later than 5:00 p.m. EST on August 12, 2026 (This timeframe for installation is entirely contingent upon lead time for equipment) Current lead time on the equipment is four (4) weeks after receipt of an approved shop drawing. 9. The awarded contractor is required to pull all necessary permits. 10. The awarded contractor must supply a construction dumpster that will be set next to the kitchen loading dock. 11. The awarded contractor will have access to the building Monday through Sunday from 6:00 a.m. until 6:00 p.m. 12. LCS will contact Sonitrol to remove related sensors etc. and disconnect any other related alarm equipment prior to current cooler box demo. 13. Due to work being undertaken in the summertime, reserving parking spaces for lay-down areas and/or to lift the new condensing unit up onto the roof will not be an issue. 14. The loading dock is level with a drop ramp if necessary.15. Flooring Clarification - The diamond tread non-skid plate finish for the floor will ship separately with the box and will need to be installed at the time of assembly.
