South Hadley Senior Center Audio Visual Upgrades for the Multipurpose Room Question Deadline 09/10/2026 at 4:00 PM ET Questions concerning this Invitation for Bid must be submitted in writing to: Dan Pease at dpease@southhadleyma.gov Install a dedicated Zoom Room conference system that caters to both basic and advanced users, ensuring confidence in the system's flexibility and ease of use. Must integrate smoothly with our current A/V setup, which utilizes a combined/separate space. nstall a dedicated wireless audio system with at least 8 adjustable gooseneck table microphones that connect with the current audio system. The Town of South Hadley seeks proposals that will enhance the user experience in the Senior Center MultiPurpose Room , making virtual and in -person interactions more seamless and engaging. Scope of Work: Install a dedicated Zoom Room conference system that caters to both basic and advanced users, ensuring confidence in the system's flexibility and ease of use. Must integrate smoothly with our current A/V setup, which utilizes a combined/separate space. Install a dedicated wireless audio system with at least 8 adjustable gooseneck table microphones that connect with the current audio system . The system must support future expansion, with hardware capable of handling up to 16 wireless microphones in total . Must have space to add additional mics for future expansion. This will likely include an upgraded DSP with Dante audio, like QSC, Biamp, or Symetrix, to support sending audio to Zoom, in-house systems, and the video switcher. The DSP should support at least 20 Dante input channels and 8 output channels. Please consider the existing setup and specify whether current devices need to stay or be removed to ensure a smooth hardware selection and connection. The 'basic user' mode will use only the Zoom Room conference system with Al video tracking. The basic user can start or stop the system using a wall-mounted touch screen or connect wirelessly with their own device. Audio will come from the upgraded wireless gooseneck microphones and/or existing wireless devices. The DSP must be set up to allow automatic mixing with features like gating, feedback reduction, and automatic volume control. The system should mute microphones that are not in use to avoid background noise, focus on active speakers, and reduce audio feedback in the room. These settings aim to provide clear sound for virtual users and a smooth experience for both people in the room and those joining remotely. The 'advanced user' mode will use the existing PTZ cameras in the MP Room , which connect to a TriCaster 410plus that sends video to Zoom on our Mac Mini . The Mac Mini sends a duplicated screen through HDMI to the wall-mounted monitor at the front of the room. This mode will not use the Zoom Room conference system unless a simpler, cheaper option is found. Audio will come from the upgraded wireless gooseneck microphones and existing wireless devices; all routed through the new DSP. A simple controller with manual audio sliders will be needed for extra broadcast control . It should at least allow muting/unmuting and volume adjustment for each microphone. Please note that the ' basic user' and 'advanced user' modes are intended as separate workflows and users are not expected to switch between these modes during the same session. The system should be designed so that users can select their preferred mode at the start of their session, ensuring a clear and straightforward transition into the appropriate workflow. Post-installation support services should also be included, offering at least 1 year of technical support and assistance with firmware/hardware updates. All documents containing coding, saved presets, or manuals for any new equipment or workflows must be submitted after installation.
