Scope of Work: Janitorial Services to be provided at the following City Locations: City Hall/Police Facility- 224 Marshall Road (Tentative move in October 2023.) City Community Room- 400 Main Street City Community Room- 200 Fourth Street Public Works Facility- 612 First Street Public Works Facility- 108 Paxton Police Facility- 355 Main Street (Tentative move out October 2023.) General Cleaning: Sweeping and mopping of all floors Dusting and wiping of surfaces, including desks, chairs, and shelves Trash removal and disposal Cleaning of entrance areas and reception spaces Restroom Maintenance: Disinfecting and cleaning of all restroom fixtures Refilling soap dispensers, paper towels, and toilet paper Trash removal and disposal Kitchen/Break Room Cleaning: Cleaning and sanitizing of kitchen surfaces and appliances Washing dishes and utensils if applicable Trash removal and disposal Floor Care: Vacuuming carpets and rugs Sweeping and mopping tile and hard surface floors Front Door Cleaning: Glass Door cleaning on a regular basis Special Requests: Any additional cleaning tasks requested by the client can be accommodated with prior notice Frequency of Service: City Hall/Police Facility-224 Marshall Road 3 times a week with one one cleaning being a deep clean Weekly deep cleaning of all other facilities Duration of Agreement: This agreement will be in effect for a period of one (1) year, starting from October 1, 2023 and ending on September 30, 2024. This agreement may be extended for up to two (2) additional one (1) year terms. Bid requirements-- Cost Breakdown: Detailed breakdown of pricing, including: Cost per cleaning session Additional costs for any specialized cleaning solutions or equipment required Any discounts offered for long-term contracts Include a separate cost for an initial deep cleaning of all facilities Description of the cleaning methods and techniques to be used. Overview of the experience and qualifications of the cleaning team. References from at least three previous clients. Proposed cleaning schedule, including frequency and preferred times for cleaning sessions. Any additional value-added services or benefits offered by the bidder. Description of any eco-friendly or sustainable cleaning practices employed. The City will provide a shared janitorial storage closet for use by contractors at the 224 Marshall Road facility only. Evaluation Criteria: Bids will be evaluated based on the following criteria: Cost-effectiveness and transparency of pricing. Relevance and adequacy of the proposed cleaning methods. Experience and qualifications of the cleaning team. Adequacy of insurance coverage. Positive references from previous clients. Alignment with the proposed cleaning schedule and flexibility. Use of eco-friendly and sustainable cleaning practices. Important Notes: The issuing organization reserves the right to reject any or all bids and to waive any informalities or irregularities in the bidding process. This bid notice does not constitute a contract or commitment to purchase services. All information provided in the bid should be accurate and complete. Awarded contractor will be required to furnish the following insurance: Insurance shall be required in accordance with coverage limits stated in the contract document. As a condition of contract award, Contractor shall provide City with insurance certificate and endorsement page listing the City as an additional named insured. Awarded contractors and all subcontractors must have a valid City business license as a condition of contract approval.
