Supply and Install a Flouro-K Clean agent fire suppression system at our City Hall Server Room The City of Clermont is accepting quotes to furnish and install a clean agent fire suppression system for the City Hall Server Room. The system must comply with all relevant standards and regulations to ensure the server room's and its equipments safety in case of a fire. The scope of work includes design, installation, testing, commissioning, and training of City staff on the proper use and maintenance of the system. All equipment must be new, with a full manufacturers warranty on all components. The successful respondent must provide all labor, equipment, materials, and any other equipment needed to complete the work. The fire suppression system will be installed at the City of Clermont City Hall 685 W. Montrose St., Clermont, Fl 34711. Any damage to the area must be repaired immediately by the successful respondent. Estimated Budget: $16,000 Question Deadline:March 27, 2024, 12:00 pm All Questions Must Be Submitted Prior to the Deadline. Questions Will Not Be Answered via Telephone or Fax. To ensure that all potential respondents have accurately and completely understood the requirements of this solicitation, the City of Clermont - Procurement Services Department will accept written questions up until 12:00 pm on Wednesday, March 27, 2024. Verbal inquiries will not be accepted and potential respondents are instructed to only seek additional information or clarification or to communicate in writing with the Procurement Services Director. All prospective respondent must conduct a site visit to assess the server room and determine the optimal placement of system components prior to submitting a proposal. It will be the sole responsibility of the prospective respondent to inspect the Citys location(s) prior to submitting a response. Submission of a response will be considered evidence that the respondent is familiar with the existing site conditions, the nature and extent of the work, equipment, materials, and labor required to accomplish the work. No variation in price or conditions shall be permitted based on the lack of knowledge of these conditions. As the best interests of the City may require, the City reserves the right to make an award on the lowest price basis by individual item, group of items, all or none, or a combination thereof, with one or more respondent(s); to reject all responses or waive any minor irregularity or technicality in responses. Quotes are considered informal solicitations and will not be read at a public opening. The quote result will be available through OpenGov after being reviewed and verified. The award will be done with reasonable promptness to the respondent that meets the specifications and timeframe. In all instances when the Quote Request fails to state the time within which performance is to be completed, and the respondent fails to state a time, the time for full or complete performance will be thirty (30) calendar days from the date of the purchase order. The delivery time will be calculated in calendar days from the order date. This contract will commence on the first calendar day of the month succeeding approval of the contract by the City Council or designee, unless otherwise stipulated in the Notice of Award Letter distributed by the Citys Procurement Services Department, and will be contingent upon the completion and submittal of all required pre-award documents. The initial contract term shall remain in effect for thirty- six (36) months, and then the contract will remain in effect until the completion of the expressed and/or implied warranty period. The contract prices resultant from this solicitation shall prevail for the full duration of the initial contract term unless otherwise indicated elsewhere in this document. Estimated quantities, if stated, are for respondent guidance only, and no guarantee is given or implied as to quantities that will be used during the contract period. Estimated quantities are based on previous needs. Said estimated quantities may be used by the City for the purpose of evaluating the low response meeting the specifications. Questions asked at the meeting that cannot be adequately answered during the meeting may be deferred until the issuance of the addenda. The questions and their responses will be available to all potential respondents. Prior to, or upon completion, of the initial term of this contract, the City shall have the option to renew this contract for three (3) additional twelve (12) month periods. Prior to completion of each exercised contract term, the City may consider an adjustment to price based on changes on the U.S. Bureau of Statistics, Producer Price Index (PPI) for the most recent twelve (12) month period
