Renovation of a municipal facility in Mount Holly, North Carolina. Completed plans call for the renovation of a municipal facility.

The scope of this Project includes the following primary goals and deliverables: o The Firm will perform a physical assessment of the Council Chambers. o Improved video display, audio and recording capabilities. o Improved reliability o Install and implement designed audio, video, and sound system solution into the existing City Council Chambers, and feed live audio and video into the adjacent overflow room. o Improved ease of use for the City Clerk and other staff for conducting meetings, recording and online streaming of meetings. o Integration and ease of use with streaming and archival software, with both current and other named vendors. o The Firm will ensure any new equipment will work with existing hardware and software. o Audio equipment will need to integrate with cameras to capture clearer sound than what is currently possible with the existing equipment. New or additional cabling may need to be installed. o The new system needs to be as hands-free as possible. Our goal is a system that can manage audio and video input levels without significant staff intervention. o The Firm will prepare contract documents in form and detail suitable to obtain bids if a subcontractor is needed. o The Firm will submit plans and specifications to the Owner for approval. o The Firm shall provide the technical documents necessary for the selection of proper action needed to maintain operational goals, to include but not limited to a system diagram. o The Firm will provide design services and recent technological upgrade options for preparation of construction documents for each priority. o The Firm shall provide Construction Assistance which includes a general review of the progress and quality of work performed by the Contractor. o Contractor will provide one system engineer on-site for the first live City Council meeting that will utilize the new system. o As an optional quoted item, provide the City with support for manufacturer warranties for service during the warranty period, and also provide the City with service support labor rates. Question Deadline 05/22/2024 at 1:00 PM ET In lieu of a pre-RFQ submittal conference, please forward any specific questions to Elizabeth Bell elizabeth.bell@mtholly.us The City is seeking services to design, develop, and install modernized and upgraded audio, video, and sound system equipment in the City Council Chambers. To design, install, or modify, if necessary, the desk, podium, and dais areas to accommodate the provided equipment and to comfortably accommodate the people utilizing it. The Council Chambers provides a facility for not only public City Council meetings but also other commission and committee meetings, as well as other public advisory board and internal meetings. Meetings are streaming video (both live and recorded) on YouTube, and through our agenda management platform. The goal of this project is to provide an updated AV and user interface experience with modern, affordable, and durable equipment. Also, consider any ancillary rooms or areas into which the meetings are broadcast for staff and overflow crowds. All of the technology shall be digital and IP-based, and interoperable. The system as installed will support at least full HD capability (1980x1080 resolution). To the extent that existing equipment can be retained and integrated into an overall AV solution, the contractor should strive to do so where possible. Lead design-build firm MUST have bonding capacity to provide a Labor and Material Payment and Performance bonds with coverage each equal to the total cost of the project. The City reserves the right to reject any offer for failure to comply with all requirements of this notice or of any of the contract documents; however, it may waive any minor defects or informalities at its discretion. The City further reserves the right to reject all offers or award a contract which, in its judgment, is in the best interest of The City.
