This Request for Quotation, General Conditions, Instructions to Quoters, Special Conditions, Specifications, Attachments, Amendments (if issued), and / or any other referenced document, form a part of this solicitation and response thereto, and by reference are made a part thereof. The selected awardee shall be bound by all terms, conditions and requirements in these documents. PURPOSE AND EFFECT: It is the purpose and intent of this solicitation to secure quotes for item(s) and/or services as listed herein. The selected awardee(s) is hereby placed on notice that acceptance of its quote by Palm Beach County shall constitute a binding contract. PURPOSE AND INTENT The sole source purpose and intent of this solicitation is to secure firm, fixed pricing for a one-time purchase and delivery of Concrete Strain Poles in various sizes for Palm Beach County. COUNTY'S RESPONSIBILITIES The County will place order via purchase order and shall: Provide access to the delivery location. Unload the material from the delivery truck Order via individual purchase orders. SUCCESSFUL QUOTERS RESPONSIBILITIES The successful quoter shall: Supply and deliver concrete strain poles in order to be unloaded in a safe manner. Be bound by all terms, conditions and specifications of this solicitation. TECHNICAL REQUIREMENTS Poles shall meet or exceed current requirements set forth by F.D.O.T. specifications for FY 2024-25 index 641-010 for Concrete Strain Pole - Type P-VII. Concrete Strain Pole - quantity 6 - Type PVII - 46' (see attached drawings) Concrete Strain Pole - quantity 6 - Type PVII - 48' (see attached drawings) Concrete Strain Pole - quantity 10 - Type PVII - 50' (see attached drawings) COUNTY ACCEPTANCE Delivered items shall not be considered "accepted" until an authorized agent for Palm Beach County has, by inspection or test of such items, determined that they appear to fully comply with specifications. The Board of County Commissioners may return, at the expense of the successful quoter and for full credit, any item(s) received which fail to meet the County's specifications or performance standards. CONTRACT CLOSEOUT PERIOD Successful bidder shall submit any pending invoice(s) and/or report(s), along with any required documents, to the County within forty-five (45) business days after the termination or expiration of the contract in order to close-out the contract ("Closeout Period"). These invoice(s) and/or report(s), including but not limited to vendor performance report(s), shall reflect work required and completed during the contract term. The County shall deem invoices received during and prior to the expiration of the Closeout Period as final billing for goods and services provided under the contract. Contractor's failure to submit pending invoices during the Closeout Period shall serve as an admission that no pending invoices remain. Nothing herein shall limit the County's discretion to make the final determination whether payment may be made to successful bidder after the expiration or termination of the contract. PAYMENT Payment is based on the unit price provided on the quote. Price shall include, but is not limited to all supervision, labor, equipment, materials, tools, machinery, transportation and other facilities and services necessary to fully and completely provide the items(s) as specified. DELIVERIES The successful quoter shall deliver all items as stated to 2555 Vista Parkway, WPB, FL 33411, Traffic Operations Warehouse. Delivery hours are Monday - Thursday only from 8:00am - 3:00pm, unless otherwise stated prior with Palm Beach County.
