The City of Chesapeake is soliciting bids from qualified vendors to establish an indefinite delivery/indefinite quantity contract to provide nursery stock and planting material such as but not limited to trees, shrubs, perennials, annuals & grasses. The materials & quantities listed in this solicitation are only estimates and are given as informational only to the bidders. Substitutions of species, sizes & quantity shall be accepted by the approval of City of Chesapeake staff. Bidders may provide a materials list with pricing. The City reserves the right to make awards to multiple Contractors as a result of this solicitation. The period of this contract shall be for one (1) year from the effective date with four (4) one-year renewal options upon mutual agreement of the parties. Plants shall be furnished to species, size, and quantity as indicated by City staff. Substitutions of species, size, or quantity shall only be accepted with written approval by the City staff. Plant names indicated shall comply with "Standardized Plant names" as adopted by the latest edition of the American Joint Committee or Horticultural Nomenclature. Names of varieties not listed there shall generally conform with names accepted by the nursery trade. All plant material provided shall be true to its botanical name and individually tagged by species or cultivars. The City's designee shall inspect for quality assurance and approve plant material at delivery, nursery, or project location, at the discretion of the City, before accepting stock. The City of of Chesapeake reserves the right to reject any and all plant material and pull one of each species out of the container to check for girdling roots, root defects, and general health and quality. All plant material shall be healthy at the time of delivery or pick-up, meet the stated specifications, and have a form typical for the cultivar species. The root ball of all plant material shall be moist throughout, and the foliage shall show no signs of stress or damage at the time of delivery or pick-up. All plants purchased during the dormant season shall be guaranteed to emerge and grow successfully, following the initial plant installation date during dormancy. Plants shall be well-rooted in containers. No encircling, girdling, or potentially girdling roots shall be present except for small roots outside the root ball that could be easily straightened or pruned. All plant material shall be free of weeds, insects, and diseases at the time of acceptance. Bidders must provide pricing for the various plant species listed in the line items section to be considered responsive or may submit a material list with pricing. The line item listed for bid pricing reflects typical items used for bid comparison purposes only. Actual purchases may vary. The City reserves the right to make multiple awards as a result of this solicitation. The award(s) will be made to the highest ranked offerors or lowest responsive and responsible bidder (as applicable) who meet the requirements of the solicitation. Awarded companies - Bennett's Creek Nursery , DeVroomen Bulb Company Orders placed under this contract are for readily available supplies. As some projects are time-sensitive, and may rely on delivery or availability for certain timeframes, the City reserves the right to cancel the order and/or to refuse delivery if the item(s) ordered are not furnished within the period for time specified for specific projects.
