Dorchester County is seeking proposals from interested and qualified vendors for scheduled preventative maintenance and as-needed repairs and/or replacement for Dorchester County heating, ventilation, and air-conditioning systems equipment. Last Day for Questions: Monday, March 31, 2025 @ 5:00PM EST. Contact Information: Dorchester County Purchasing Services purchasing@dorchestercountysc.gov Contractor shall furnish labor, equipment, and materials to perform scheduled preventive maintenance and "on call, as-needed" repairs and /or replacement for Dorchester County heating, ventilation and airconditioning systems equipment. Contractor shall be responsible for County Business License Fees. The contractor shall comply with all applicable federal, state, and local laws, ordinances, and regulations governing safety, health, and sanitation; shall provide any required and needed barricades; and shall take any other needed actions, on their own responsibility, that are reasonably necessary to protect the life and health of employees on the job, the safety of Dorchester County employees, the safety of the general public, and the safety of any equipment, and other property during the performance of the work. Additionally, all the work will be coordinated, scheduled, reviewed, and approved through the Facilities Maintenance Department. The services must be planned, coordinated, and completed in a manner that does not in any way disrupt the normal operations of the facility outside of any previously scheduled short disruptions. Building locations and equipment list are located in Attachment A (Equipment Descriptions). 3. Scope of Work A. Air Distribution Systems 60 Day Task: a. Check bearings and belts lubricate and replace as needed. b. Check for mold or mildew growth and clean when necessary c. Check for proper operation, repair, replace, and lubricate to ensure proper operation. If replacement is needed present quote to County representative. Semi-Annual Tasks: a. Check control system for proper operation. Lubricate, clean, adjust and repair if needed to ensure proper operation. If replacement is needed present quote to County representative. b. Inspect grilles, registers, and diffusers for dirt and clean as needed. c. Check dampers for proper operation. Lubricate, clean, adjust and repair if needed to ensure proper operation. d. Visually inspect duct work insulation and vapor barrier .If moisture is present take corrective action. The initial term of any contract derived from this solicitation shall be ONE (1) year from the date of contract execution by the County. At the County's discretion, the contract may be renewed for FOUR (4) additional ONE (1) year terms.
