The written requirements in this RFP shall not be changed or superseded except by written addendum. Failure to comply with the written requirements for this proposal may result in rejection of the proposal. The City of Wood Dale invites you to bid on an anticipated contract for HVAC PREVENTATIVE MAINTENANCE & REPAIR (hereinafter referred to as the "Project"). The Project can generally be described as heating, ventilation, and air cooling (HVAC) maintenance services including cleaning, repair, lubrication, and other related maintenance on specified City equipment. The scope of the Project shall include all equipment, materials, labor, training, warranties, and construction and/or installation services necessary to implement the contemplated construction. This project includes preventative maintenance and repair at all City facilities, including City Hall, North Wastewater Treatment Plant, South Wastewater Treatment, Vehicle Maintenance Garage, Public Works Facility, Wood Dale Metra Station, and additional Water Stations. o City Hall/Police Department 404 N. Central Avenue, Wood Dale, IL o Metra Station 199 W. Division Street, Wood Dale, IL o Reichert Station 320 E. Richert Road, Wood Dale, IL o Wood Dale Station 442 W. Potter Street, Wood Dale, IL o Park Station 410 Park Lane, Wood Dale, IL The contractor will provide four (4) regularly scheduled preventive maintenance inspections designed to keep the equipment operating at peak efficiency, minimize breakdowns, extend equipment life, and reduce energy consumption. All City facilities should remain on the same preventative maintenance cycle. The contractor shall schedule service visits during regular business hours. In the event of emergency maintenance, a technician should be on-site to identify the problem within one (1) business day. This is the most current list staff has maintained, however, the successful proposal will include pricing for (1) City wide audit of all equipment. A complete list of current HVAC units and sample of planned maintenance is listed below. Please note, this list does not include all locations, as an audit will be required to confirm the equipment list for each facility. A proposal sheet that can be utilized as an example is attached at the end on this document. Professional Services Start 6/1/2025 City of Wood Dale The City reserves the right, at its sole discretion, to use without limitation any and all information, concepts, and data submitted in response to this RFP, or derived by further investigation thereof. The City further reserves the right at any time and for any reason to cancel this solicitation, to reject any or all proposals, to supplement, add to, delete from, or otherwise change this RFP if conditions dictate. The City may seek clarifications from a Consultant at any time and failure to respond promptly may be cause for rejection. The City also reserves the right to interview only those Consultants it determines shall provide the most advantageous services to the City, and to negotiate with one or more Consultants acceptable to the City.
