Madison County Government is seeking bids for an upgrade to the AV equipment in the County Board Room to facilitate the broadcast of audio/video of board meetings to an existing cloud hosted provider such as YouTube and to improve the experience for on-site participants and spectators. Vendors shall propose a comprehensive AV solution meeting the following specifications. All items are to be installed and configured by the vendor. o Streaming Encoder: o Hardware streaming encoder capable of encoding and streaming in at least 1080p resolution. o Support for common streaming platforms (e.g., YouTube, Vimeo) and RTMP protocols. o User-friendly interface for starting/stopping streams and recordings. o Configuration of county provided PC to facilitate streaming via OBS or similar software suite in the event of hardware decoder failure. o Auto-Tracking Camera Controller: o Centralized control unit to manage camera movements and presets. o Integration with Al tracking camera for seamless operation. o Compatibility with existing or proposed AV control systems. o Al Tracking Camera Kit: o High-definition PTZ camera (1080p or higher) with Al-powered subject tracking. o Smooth and accurate tracking of speakers without manual intervention. o Wide-angle lens to capture the entire board room. o Control Panel o Table Top Control Panel to facilitate end user use of the AV system. o Additional Considerations: o All equipment must be commercial-grade, reliable, and supported by a manufacturer warranty. o System should integrate with existing audio systems. Additional equipment may be necessary to integrate with or augment the existing system. o Proposal must include cabling, mounting hardware, and any necessary infrastructure upgrades. o Training o Training Session to demonstrate the function and use of the system. o Session should be two hours in length. o Display Screens: o Two (2) 75-inch 4K UHD Commercial Grade LED displays o Wall-mounted with adjustable brackets for optimal viewing angles. o Compatible with HDMI and wireless presentation systems Bids will be considered on equipment or material complying substantially with Specifications provided each deviation is stated and substitution is described, including technical data when applicable, in a letter attached to bid.
