Wilson County Promotions is soliciting proposals from qualified vendors for the design, installation, and support of a robust and scalable Wi-Fi infrastructure at the James E. Ward AG Center, located in Lebanon, Tennessee. This project is funded through the Connected Community Facilities (CCF) grant from the Tennessee Department of Economic & Community Development (TNECD). The James E. Ward AG Center hosts more than 800 annual events with a daily attendance ranging from 100 to 250,000 attendees. The design of this Wi-Fi project needs to consider this variance in loads throughout the areas utilized at the James E. Ward AG Center grounds The selected vendor will be responsible for the following: 1. Site Survey & Design a. Conduct a comprehensive assessment of the current broadband infrastructure present on and around the James E. Ward AG Center grounds, including indoor and outdoor event areas. b. Identify potential obstacles and wireless interference throughout the grounds and a means to mitigate the negative effects. c. Identify the current pole and structure locations that may serve as Wi-Fi access points to provide enough coverage and redundancy to cover the utilized activity space of grounds under any load and attendance conditions d. Existing electrical and fiber will need to be identified and graded for potential utilization, upgrade or overbuilding application within the engineering design for performance and expandable serviceability. e. Identify optimal placement of access points (APs) f. Create a detailed site assessment and network design concept 2. Engineering Design Requirements a. Heat maps, topologies, bandwidth projections, frequency planning b. Structured cabling (non-fiber), environmental specs, PoE planning c. Compliance with standards and CCF grant guidelines d. Deliverable: Stamped/signed engineering design package 3. Network Infrastructure Installation a. Install APs, switches, cabinets, etc. using existing fiber where available. b. Follow TIA/EIA standards 4. Configuration & Integration a. Configure SSIDs, VLANs, QoS b. Integrate with ISP/internal systems 5. Testing & Validation a. Full coverage, load, and performance tests b. Deliverable: Final network performance report 6. Training & Documentation a. Provide full documentation and training for staff 7. Maintenance & Support a. Warranty and SLA-backed support options. Question Deadline 07/22/2025 Questions must be submitted via email : helen@wilsoncountyfair.net Wilson County Promotions, Inc. reserves the right to reject any or all proposals. Wilson County Promotions, Inc. reserves the right to separately award the Site Survey, Engineering Design and Project Management efforts from the Network Infrastructure Installation, Configuration and Integration efforts. Should the successful Vendor fail to comply and or meet the general requirements, Wilson County Promotions Inc. shall reserve the right to terminate this agreement within 30 days of written notification RFP date notes: Any bids received after time and date will not be accepted. The method of Contractor Selection has not been Determined at this time.
