ABOUT RFP S25221: VTA seeks proposals from qualified firms to propose a specific system, provide installation and services maintenance for a Video Wall Upgrade project. Contractor will provide a video wall system including all hardware, software, video output/monitor devices, cabling, installation, configuration, and integration services required for the VTA Operations Control Center (OCC). Deadline to Submit Questions:September 18, 2025, 2:00pm A. Scope of Work 1. Video Wall System Requirements: a) Quality of display: The quality of the display must be sturdy and not prone to breakage. The Operations Control Center was built to provide situational awareness in order to facilitate fast and accurate decision-making, so uptime is of paramount importance. The following criteria must be adhered to: maximum of a .7mm Pixel Pitch on a LED Screen, pixel resolution size of 9600 x 2160 must have a maximum of 4.444 Aspect Ratio, pixel resolution must be a minimum of 7000 x 1600, Designed for 24 hours a day, 7 days a week usage, Redundancy and/or high availability: Redundancy backup components that can take over if a primary component fails. High availability refers to a system's ability to remain operational and accessible with minimal downtime, Modular design for fast, easy servicing, and bezel free, Spare parts and service availability, Provide Anti-Screen Burn-in technology or process. b) Reliability of visual quality: Visual quality must be constantly crisp and clear. Color and brightness are of vital importance in control rooms and are critical factors in comparing displays. The video must maintain a constant image quality over the entire wall, and over the life expectancy. The display wall should be designed for Controller legibility. c) Life Expectancy of the video wall and components: The life expectancy should be a minimum of 5 years before the end of life. d) fit existing video wall (of 260"x 60") or up to 308"x 60". The bottom of the screen wall must stay at the same level to avoid obstruction. e) be interoperative with the current connection configurations, which is 4 Mini Display Port connections. VTA will waive this requirement if proposal includes an alternative configuration that VTA finds preferable. f) VTA prefers perpetual software licenses for all software, if available. 2. Service Deliveries: a) Contractor must provide a final As-built installation drawings in the AutoCAD format after system installation. b) Contractor will be working in an active Operations Control Center, which might require to install on a late-night shift. Depending on length of install time and days. The Superintendent of the Operations Control Center will decide on the schedule. c) Contractor must remove existing video wall. d) Contractor must provide all wall reinforcements as required by VTA. e) Contractor must provide an outside engineering certification to certify the structural wall will sustain the weight of the new video wall. f) Contractor will evaluate and provide any needed additional power outlets and electrical circuits for the video wall, Contractor will provide a VTA approved electrician to work with the VTA Facilities Department. g) Contractor will provide all necessary cables (including fiber and copper), connections and all hardware and software as required (including but are not limited to the management software and operating system) to complete the installation, operation, troubleshooting, and administration of the new Video Wall system. h) Contractor will obtain all necessary licenses of all software and identify the type of licenses being acquired. i) Contractor must either install the video wall frame or utilize existing. Once installed, the new video wall frame must have a VTA engineering acceptance or an outside engineering certification (provided by Contractor) that the frame and wall will be able to sustain the new weight of the video wall. j) Contractor must install the controller (management hardware and software) in a VTA-designated server room, which will be within the same floor and building but can change depending on the size of the equipment and availability of the space. k) Contractor must provide an in-person classroom video wall training within one month after project completion to VTA personnel for the following: usage, re installation, operation, technical configurations, troubleshooting and administration. l) Contractor will spend no more than ### hours (# days) of downtime when the video wall will be non-operational during demolition, installation and software configuration. 3. Additional Requirements: a) Contractor will provide a demonstration site within a 90-mile radius of San Jose and showcase a similar size or smaller replica of the video wall vendor proposes, which includes the hardware and software being proposed. b) Contractor must provide a total 7-year contract term which includes installation, extended warranty (to begin after VTA accepts the installation), and service maintenance support available from 8 AM to 5 PM (local time), Monday through Friday, with next business day response. 4. Optional for VTA (VTA reserves the right to procure additional parts) a) Contractor will provide pricing for additional extended parts.
