The vendor shall include the cost of the bonds and permits in the bid. Quotes that are not prepared as required will be considered non-responsive. It is the sole responsibility of a vendor to ensure its quote is received, regardless of the manner of delivery, by the deadline. It is strongly recommended that quotes are sent in advance of the due date and time. Late quotes will not be accepted. The Town reserves the right to cancel all or part of this solicitation and to reject in whole or part any and all proposals. The Town does not warrant, represent, or guarantee the accuracy or completeness of any bid documents and/or information retrieved from any third party source. The Town is not responsible for any loss or damage including, but not limited to, time, money, or goodwill arising from errors, inaccuracies or omissions in any third party bid documents and/or information. It is the responsibility of each prospective bidder to check this website regularly through the close of bids for any applicable addenda or updates. III. Scope of Work It is the intention of this specification to arrange for the procurement of the following: Removal and Disposal o Remove and properly dispose of all existing audio system components located in the press box and any associated cabling and mounting hardware o Ensure all existing equipment is safely deinstalled and the work area is restored to a clean condition o Coordinate with Town representatives to confirm what, if any, components are to be retained New System Installation Provide and install a complete replacement audio system, including but not limited to the following. Quotes must include brand and model of all proposed equipment, when applicable. o A central audio control unit (mixer or processor) capable of handling multiple input sources such as microphones and external audio devices o Installation of a wireless microphone system capable of handling multiple microphones for both fixed and roaming use. o Amplification equipment sufficient to handle the speaker system and maintain even sound coverage across the field and stands o Weather-resistant premium loudspeakers, with drivers no less than 12" in diameter, installed at existing or optimal mounting locations on or near the press box o All necessary racks, enclosures, and hardware for secure installation and operation o All associated wiring, connectors, terminations, and cabling needed o Integration of the new system using existing electrical and conduit infrastructure wherever feasible Payment Bond Required: If the contract price exceeds $25,000, a payment bond will be required from the Bidder awarded the contract. The payment bond must be in the amount of 50% of the contract price. Bond shall be conditioned upon the faithful performance of the contract. The bond must be obtained by the Bidder from a surety company and guarantee payment to materials suppliers and/or subcontractors in the event that the Bidder fails to pay the materials suppliers and/or subcontractors. This guarantee shall be submitted in the form of a good and sufficient bond drawn upon an Insurance or Bonding Company authorized to do business in the Commonwealth of Massachusetts. The Bidder has 10 days from the date of notification of contract award to obtain the payment bond. The work is scheduled to begin in Fall 2025, with an expected completion date of December 31, 2025. Normal working hours are Monday to Friday, from 7:00 AM to 4:00 PM. Off hours and weekend access may be allowed if scheduled in advance with the Recreation, Grounds, and Community Events Coordinator. No additional compensation shall be allowed above the bid price for either time or materials. Questions arising from this document must be submitted email in writing. Due to the possible interference of SPAM filters, etc., vendors are responsible for ascertaining that their questions have been received prior to the deadline for questions. The Town reserves the right to disqualify any proposer that it believes to be interfering with this procurement by raising irrelevant, nuisance, or diversionary issues in order to delay or render the procurement invalid, whether timely or not. The Chief Procurement Officer may cancel this RFQ, or reject in whole or in part any and all quotes, if the Town of Braintree determines that the cancellation or rejection services the best interests of Town of Braintree.
