Renovation of a mixed-use development in Midland, Michigan. Completed plans call for the renovation of a one-story above grade conference / convention center; and one-story above grade conference / convention center.
The purpose is to establish a contractual relationship with an experienced and qualified entity for the completion and ongoing service of a Conference Room Multimedia System. The scope of work includes design, layout, and documentation for a complete multimedia conference room system; provision, mounting, and alignment of all primary and secondary flat-panel displays and/or touch-enabled presentation screens; furnishing, installation, and aiming of all ceiling-mounted loudspeakers, sound bars, and/or associated audio amplification/processing; furnishing and installation of all conference cameras, including any PTZ and/or fixed network cameras required for video conferencing; supply and configuration of a networked audio/video processor and any required AV-over-IP endpoints or interface devices; programming of the control system, including touch-panel interfaces, presets, switching/routing functions, and integration with the room's displays, cameras, microphones, and speakers; installation of any additional low-voltage infrastructure required by the system installation, including cable runs, patch cables, terminations, wall plates, and any required keystone inserts or network hardware; licensing and activation of any required software features or device options necessary for full system functionality; system commissioning, testing, and tuning; on-site end-user training for staff; warranty information and available service/maintenance options; and all associated shipping, handling, travel, and related expenses necessary for delivery, installation, and support. Bidders must document their expertise and understanding of the requirements, and proposals must demonstrate the ability to accomplish the tasks set forth. Bids must include the specified options and any other significant information. Proposals must clearly state all warranty terms, replacement options, provide written confirmation from the original equipment manufacturer of warranty services if the bidder cannot provide them, and specify agreement terms and costs for service or software licenses. Bids must outline renewal and termination of contract clauses, specify the covered equipment and types of services for any service contract, and define customer and vendor responsibilities regarding repairs. Each proposal must be based solely on the information contained in the request, and any inconsistencies should be clarified in writing. Proposals must explain any non-attendance at the pre-bid walk-through if applicable. Each proposal must be accompanied by a bid bond, certified check, or irrevocable letter of credit amounting to five percent (5%) of the bid. Bidders are responsible for being familiar with local conditions and for complying with all applicable laws, rules, and codes. The awarding agency reserves the right to reject any or all proposals for any reason, to accept proposals in whole or in part, and to weigh proposal elements as deemed beneficial. Criteria for award include completeness of solution, overall cost, service and software agreement terms, warranty and replacement coverage, references or prior relationships, and quality and compliance with terms.
