Comprehensive campus-wide door and fire door inspection, testing, maintenance, and repair services for approximately 1,000 doors, including about 135 fire/smoke door assemblies. Services include quarterly inspections and preventive maintenance of all fire/smoke door assemblies in accordance with NFPA 80 (2025 Edition), preparation and maintenance of a complete and accurate inventory of fire door assemblies, and correction of deficiencies identified during inspections. Inspections cover door ratings and labels, glazing and vision lights, clearances, self-closing and latching hardware, coordinators, auxiliary hardware, gaskets, seals, and any modifications affecting compliance. Quarterly inspection reports documenting pass/fail results, deficiencies, and cost estimates for required repairs are required within 14 calendar days of each inspection, along with tracking of corrective actions taken since prior inspections. An annual consolidated report is required summarizing all quarterly inspections, fire door locations and labels, types and frequency of failures, repairs completed, and outstanding corrective actions. Standby repair services are required for both fire/smoke doors and non-fire doors across campus, including up to 160 labor hours per year for on-call repairs scheduled within two weeks of notification and emergency response within four hours. Materials and parts are to be provided for non-routine repairs and maintenance for all doors, with parts and materials supplied up to an established per-door allowance, and additional repair proposals submitted for approval when costs exceed that limit. All repairs must comply with manufacturer requirements and applicable federal, state, local, and VA codes and standards. The contractor is responsible for providing qualified, certified technicians; all tools, equipment, supervision, and transportation; safety plans and documentation; coordination and scheduling with the designated representative; and maintaining clean and safe work areas. Work is to be performed during normal business hours unless otherwise authorized, with adherence to OSHA, EPA, NFPA, infection control, and VA requirements. Deliverables include maintenance schedules, contact lists, safety and lockout/tagout plans, safety data sheets, and detailed service reports documenting labor hours, parts used, repairs performed, and costs.
